Reports To:

Leq'a:mel First Nation Executive Assistant

Compensation:

$25 to $28/hour, depending on experience.





Leq'a:mel First Nation is located 22 kilometers east of Mission. LFN continues to assert our inherent rights of self-government over our Territory, which covers a vast area of the lower mainland. LFN has approximately 800 members and is governed by Chief and Council through Custom Election Code. Applicants must have a demonstrated knowledge of and Leq'a:mel culture, and traditions, or a willingness to learn.

About the Role




The Administrative Assistant provides high-level administrative, and operational support to the Leq'a:mel First Nation, Executive Assistant (LFN-EA) and Administrator. This role ensures effective coordination of governance activities, communication processes, documentation management, and daily administrative functions. The Administrative Assistant upholds professionalism, confidentiality, cultural awareness, and exceptional organizational skills while supporting governance and cultural initiatives within the Nation.

Key Duties and Responsibilities




Administrative Support




Provide high-level administrative support to the Leq'a:mel First Nation, Executive Assistant (LFN-EA) and Administrator. Edit and format correspondence, reports, briefing notes, presentations or other materials as required. Manage confidential information in a respectful and confidential manner, in accordance with Nation policies. Maintain accurate electronic and physical filing systems aligned with organizational standards. Assist with travel coordination, itineraries, and expense reporting.

Meetings, Events & Governance Coordination




Assist with the preparation and distribution of meeting packages, minutes, and tracking documents. Provide general support for governance-related meetings and events.



Communications




Coordinate internal and external communications, as approved by Administration, to ensure clarity and message consistency. Maintenance of the Nation's media outlets (e.g. website, Hawk App) Draft flyers, emails and other correspondence related to external and community-based meetings.

General Responsibilities




Perform additional administrative duties as required. Maintain professional, positive, and confidential conduct always.



What We're Looking For




Education and Experience




Certificate in Administration or equivalent, preferred. Minimum 2-5 years of administrative experience. Experience working with Indigenous communities, organizations, and governance structures is an asset. Experience with office systems, databases, and standard office equipment. Valid Driver's License. Acceptable Criminal Record Check required.



Knowledge and Experience




Understanding of Leq'a:mel First Nation governance, programs, and services is an asset. Knowledge of First Nations customs and traditions is an asset. Understanding of administrative best practices, confidentiality protocols, and records management.

Skills and Abilities




High attention to detail with strong problem-solving skills. Strong verbal and written communication skills. Excellent planning, organizational, and time-management abilities. Ability to prioritize tasks and manage shifting deadlines. Ability to work independently with minimal supervision. Strong interpersonal skills with professional, welcoming demeanor. Proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint, SharePoint, Publisher) and Adobe. Strong record-keeping and file-management skills. Ability to operate standard office equipment and perform web-based research.



Working Conditions




Standard office environment; hours Monday to Friday, 8:00 AM - 4:00 PM. Extended periods of sitting and computer use. Required to attend scheduled meetings with advance notice. Occasional assistance with after-hours meetings may be required.
