High Country Mechanical is a locally owned and operated HVAC company serving central and northern Nova Scotia. We specialize in high-efficiency Fujitsu AIRSTAGE heat pumps, ventilation systems, and mechanical solutions for residential and light commercial clients. Behind our field work is a dedicated office team that keeps everything moving. We are seeking an organized and reliable Administrative Assistant to support our office manager, maintain efficient internal processes, and help keep our office running smoothly.
Position Overview
The Administrative Assistant plays a key role in keeping our office running smoothly. This person will handle data entry, paperwork, filing, documentation management, and general administrative support as assigned. We're looking for someone easy to work with, clear in their communication, and reliable with day-to-day office tasks.
This position is fully on-site at our office located at 475 MacElmon Road.
Key Responsibilities
Perform daily data entry using various computer applications
Organize and maintain digital and paper filing systems to keep information easy to access
Handle incoming paperwork, service reports, timesheets, and customer documents
Prepare, scan, upload, and distribute documents as needed
Support the office manager with day-to-day administrative tasks and follow-ups
Monitor shared email inboxes and respond to general inquiries clearly and professionally
Assist with preparing quotes, setting up job files, and updating customer records
Track incoming and outgoing mail, deliveries, and internal office documents
Maintain confidentiality of all customer data and company information
Perform other assigned administrative duties to support office operations
Qualifications
High school diploma or completed technical training in a related field
Strong written communication skills
Demonstrated experience in administrative, office, or clerical work
Solid computer skills and comfort learning new programs
Excellent attention to detail, organization, and time management
Ability to work independently and maintain confidentiality
Experience with Microsoft 365, Sage 50, and Customer Relationship Management (CRM) and/or service management software (asset, not required)
Previous work experience in an HVAC, trades, or construction-related environment (asset, not required)
Job Type: Part-time
Pay: $18.00-$20.00 per hour
Expected hours: 15 - 25 per week
