COMPANY SUMMARY:



Established in 2024, Southern Interior (SI) Public Works Ltd. is a spin-off of W.H. Excavating, which has offered excavation and property maintenance in Creston, BC, for over 20 years. SI Public Works specializes in year-round property maintenance, including snow removal, ice management, property services, and landscape maintenance, using mini excavators and skid steers for precise earthwork. Both SI Public Works and W.H. Excavating are local, family-owned businesses with experience in small to medium commercial and civil projects.

POSITION SUMMARY:



Reporting to the Office & HR Manager, the Administrative Assistant is responsible for receiving, entering, and organizing employee service log notes to support bi-weekly payroll preparation and monthly client invoicing. This role requires exceptional attention to detail, strong data entry accuracy, and the ability to follow directions closely while working independently.

This is a part-time contract role running December 1 to March 31, approximately 5-10 hours per week, with potential to continue depending on workload and performance. The successful candidate will be provided a company-owned laptop and cellphone to support this work.

RESPONSIBILITIES:



Service Log Management



Receive employee service log notes and ensure completeness and accuracy. Organize and enter data into Google Sheets with a high level of precision. Maintain well-organized digital records and update logs as required.

Payroll Preparation Support



Compile service log data bi-weekly for payroll processing. Reconcile hours, flag discrepancies, and ensure complete and accurate information. Prepare summary sheets or reports for management review.

Client Invoicing & Administrative Coordination



Organize service log data monthly to support client invoicing. Prepare draft billing summaries for management review. Maintain ongoing communication with management and respond promptly to information requests.

REQUIREMENTS:



All successful candidates must:

Must have extremely high attention to detail and the ability to follow directions precisely. 1-3 years of experience in administrative support or data entry roles. Strong proficiency with Google Workspace (Gmail, Drive, Sheets); experience with Excel is an asset. Ability to independently manage deadlines and complete tasks with minimal supervision. Strong communication skills and reliability in remote work settings. Comfortable using cellphones for communication (through talk and text). Ability to maintain confidentiality of employee and client information.

WORK CONDITIONS:



Work hours are flexible, but we suggest dedicating 1-2 hours each day to maintain consistency. Most communication will take place from Monday to Friday. Some in-person meetings with management will be required.
