Job Summary


We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our office, handling a variety of administrative tasks that contribute to our overall efficiency. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple responsibilities effectively.

Duties



Perform data entry tasks with accuracy and attention to detail. Manage filing systems and maintain organized records for easy retrieval. Provide exceptional customer service and support at the front desk, greeting visitors and answering inquiries. Booking shipments for ground shipping and freight carriers. Operate phone systems, demonstrating excellent phone etiquette while handling incoming calls. Assist with bookkeeping tasks, including invoicing and tracking payments using Sage or similar software. Utilize Microsoft Office and Google Workspace applications for document creation, spreadsheets, and presentations. Proofread documents for accuracy and clarity before distribution. Support team members with clerical duties as needed, ensuring all administrative functions are executed efficiently.

Requirements



Proven experience in an administrative role, preferably within a medical or dental office setting. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Strong computer skills with the ability to learn new software quickly; experience with Sage is a plus. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong typing skills with attention to detail for accurate data entry and documentation. Exceptional proofreading abilities to ensure high-quality outputs. Demonstrated customer service skills with a friendly demeanor when interacting with clients and colleagues. Experience handling front desk responsibilities, including managing appointments and patient interactions in a dental office is preferred but not required. Ability to work independently as well as part of a team, demonstrating flexibility and adaptability as needed. College certificate or higher preferred.
Job Type: Part-time

Pay: $20.00-$25.00 per hour
