Overview


We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have strong computer skills, experience with office management, and the ability to handle multiple responsibilities efficiently. Prior experience in an office environment is a plus, but not required. The Administrative Assistant is responsible for supporting daily office operations, marketing strategies, coordinating events, and creating content. They ensure efficient workflow by organizing files, coordinating meetings, and assisting the management team. They are the liaison between the Center's management and its retailers.

Duties



Managing schedules, calendars, appointments, assist coordinating meetings, and events. Handling emails, phone calls, correspondence, maintaining filing systems, databases, reporting, and office supplies. Complete administrative projects, prepare expense reports, order and maintain inventory of office supplies, and other administrative duties apply. Ensure fluid and proactive communication with the center's retailers to inform them of operations and marketing initiatives. Support and advise retailers on their own promotional activities to maximize their success and engagement, and act as the main point of contact to encourage retailer participation in the center's campaigns and events. Participate in the management and updating of the website and social media networks. Track budgets related to events and promotional activities.

Skills



Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with social media (Instagram, Facebook, and Websites). Strong computer skills with the ability to learn new software quickly. Experience with data entry, filing systems, and administration procedures. Excellent organizational skills with attention to detail. Strong typing speed and accuracy for efficient data processing. Proofreading skills to ensure error-free documents and correspondence. Effective communication skills including professional phone etiquette and customer service experience. Prior experience in administration is preferred but not mandatory; familiarity with front desk operations and bookkeeping is advantageous. Ability to multitask efficiently in a fast-paced environment while maintaining professionalism in a team environment, or independently.
