Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office and providing support to various departments.
Key Responsibilities (Not Limited To):
Answer, screen, and direct incoming phone calls using a multi-line telephone system
Greet and assist visitors in a courteous and professional manner
Respond to emails and correspondence in a timely manner
Handle incoming and outgoing mail, faxes, and packages
Provide general information to customers and direct inquiries appropriately
Maintain cleanliness and organization of the reception area, office, and training rooms
Perform general clerical and administrative duties as requested
Develop and maintain organized electronic and paper filing systems
Prepare, format, proofread, and distribute correspondence, memos, reports, and other documents
Provide administrative support to management and other departments as needed
Manage calendars, schedule appointments, and coordinate meetings and conferences
Assist with special projects and events as assigned
Create and submit construction proposals and tenders
Review agreements and purchase orders, including startup and ongoing documentation
Correspond with clients regarding proposals, agreements, and purchase order retrieval
Purchase office supplies and maintain office inventory
Provide technical assistance with computer hardware, software, and office IT matters
Handle company fleet-related matters
Qualifications:
2-5 years of experience in an administrative or office support role, preferably within the construction industry
Degree, diploma, or certificate in Business Management, Office Administration, or a related field
Experience supporting construction projects, including project estimation and client/builder relations
Knowledge of construction billing practices, such as progress draws, and general construction scope of work
Strong organizational and time-management skills with the ability to prioritize multiple tasks effectively
Excellent written and verbal communication skills with strong attention to detail
Proficiency in computer software and applications, including the MS Office Suite
Ability to work independently and collaboratively as part of a team, demonstrating a proactive and positive attitude
Possession of a valid G driver's license and access to a vehicle
