Administrative Assistant, CETR
position working out of Edmonton, AB.
The Administrative Assistant, CETR, is accountable for leading administrative tasks that support the City of Edmonton Transmission Reinforcement (CETR) Project. This includes managing clerical and administrative duties for the project team, preparing and editing documents, reports, and presentations, and maintaining filing systems and office organization.
The Administrative Assistant, CETR, is accountable to the Senior Manager, CETR.
What you'd be responsible for
Providing input to the City of Edmonton Transmission Reinforcement annual plans and directions, and ensure on-going appropriate relationships with other positions.
Ensuring the delivery of optimal results against performance metrics, including customer service and operational effectiveness, by managing communications and team efficiency.
Supporting the CETR team, including day-to-day assistance and clerical tasks. This requires understanding of the project needs and requirements and making decisions on the above without direct input from the project team.
Coordinate meetings and events (5-130 attendees) with other Administrative Assistants, including logistics such as A/V, internet, site access, catering, seating, venue selection, and budget alignment. Events range from stakeholder meetings (e.g., AESO, suppliers) to internal gatherings such as team building, safety sessions, Director-led staff events, and community engagement.
Managing all PCard/Expenses for the CETR project team, reconcile monthly, cross-reference account numbers for accuracy and attach receipts. Enter and manage I-procurement PO requests, verify vendor allocations, and check invoice for accuracy prior to submitting to accounts receivable. Complete and submit cheque requisition forms for Treasury and Finance.
Confirming safety inspections are in the appropriate program to ensure management staff receives credit for their inspection efforts. Input STAR safety program information.
Managing all ServiceNow/facility requests for new employees and consultants, terminations, office staff relocations, security and remote access and computer equipment for the project.
Training, assisting or providing coverage for others as required within Transmission Operations.
Preparing documents, reports or project deliverables as required, such as meeting material, project binders or presentations.
Supporting the continued development for the CETR SharePoint site. This includes ongoing structure, content and permissions management with alignment to the Transmission Operation SharePoint site.
What's required to be successful
High school diploma, GED or equivalent is required
+ Post-secondary diploma in business administration would be considered an asset 5+ years of related office experience is required
Full understanding and use of Microsoft Office including Word, Excel, Outlook, SharePoint and PowerPoint
Advanced skills and knowledge in SharePoint site design; experience as a SharePoint site owner or administrator is an asset
Basic knowledge of Electricity Operations Distribution System
Ability to problem solve - identify issues, understand internal EPCOR processes, and investigate and resolve issues by working through process and coordinating and communicating with other areas
Provide advice, assistance and coverage to other Admin Assistants as requested
As the successful Administrative Assistant, you exhibit great communication skills, an independent working style and the ability to resolve issues. You have a great deal of autonomy and take initiative, are proactive in anticipating the needs of the team, execute problem-solving skills and ensure a large volume of tasks are prioritized and executed. You are highly organized and continuously seek ways to improve processes. Your focus is on delivering excellent service to others.

Wage: Starting at $30.89 per hour. Final Wage and step will be determined at the time of selection and is subject to change based on the ratification of the new Collective Agreement.
