Advanced Level Roofing Corp. is a growing roofing and exteriors company committed to professionalism, organization, and exceptional client service. We are seeking a reliable, proactive Admin Assistant to serve as the administrative backbone of our office and the first point of contact for clients, contractors, and staff.
Position Summary
The Admin Assistant is responsible for day-to-day clerical operations, desk coverage, and administrative support across all departments. This role requires a highly organized individual who is comfortable assisting multiple team members, managing communications, and maintaining a professional, welcoming office environment.
This position supports projects company-wide, any team member may request clerical assistance, and the Admin Assistant is expected to provide timely and effective support.
Key Responsibilities
Client Services & Office Coordination
Answer and direct incoming phone calls in a professional manner
Greet and welcome clients, contractors, delivery personnel, and staff
Open and close the office as required
Maintain a professional, organized office presence at all times
Administrative & Clerical Support
Provide clerical and administrative support to all departments and project teams
Assist with document preparation, filing, scanning, data entry, and correspondence
Take notes and minutes during meetings and distribute summaries as needed
Support client communications via phone and email
Learn and understand the roles of all team members to appropriately direct inquiries and assist clients
Office Administration
Act as the central point of administrative support for the office
Assist staff with day-to-day administrative needs related to their projects
Maintain office calendars, meeting schedules, and internal communications
Office Upkeep & Shared Spaces
General maintenance of communal office areas, including:
Managing office coffee stations
Loading, unloading, and running the dishwasher
Ensuring shared spaces are tidy, stocked, and presentable
Coordinate with cleaning services (note: bathrooms and garbage removal are handled by an external service)
Inventory & Supplies
Monitor and maintain inventory for office supplies, company merchandise, and contractor welcome packages
Track stock levels and assist with ordering as needed
Qualifications & Skills
Previous experience in an administrative assistant, receptionist, or office administrator role preferred
Strong organizational and multitasking skills
Excellent verbal and written communication skills
Professional, friendly, and approachable demeanor
Proficient with standard office software ( Google Workspace, Quickbooks etc.)
Ability to work independently while supporting a fast-paced team environment
Willingness to learn company operations and adapt to changing priorities
