Heritage College is a leading private career college in Calgary. We are looking to hire an Administrative Assistant to join our team.
Responsibilities:
Answer the telephone, deal with inquires, and take detailed messages.
Review, sort, and prioritize incoming e-mail, and take action or respond to requests as needed.
Copying, filing, and scanning correspondence and student documents.
Assist the program coordinators with students' books and other shipments.
Provides administrative support to various teams within student services as required.
Arrange internal and external meetings, and book appointments.
Collect documents from clients and follow up with clients as required.
Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
Arrange and monitor couriers.
Provide assistance to individuals requesting criminal record information at the counter and by telephone.
Collect, process fees, issue receipts and complete daily cash deposits.
Provides administrative support as required to ensure efficient operation of office.
Qualifications:
Required to pass a fingerprint-based criminal record check.
Post-secondary education is considered a strong asset.
Excellent communication skills (both oral and written) are essential.
Knowledge of a second language is desired.
Strong interpersonal and customer service skills.
Exceptional organizational skills, attention to detail, and ability to prioritize multiple responsibilities.
Excellent technical skills including proficiency in MS Office Suite.
Team player and has ability to work independently.
Previous experience working in a professional services firm is an asset.
