We are looking for a reliable, detail-oriented Administrative Assistant who enjoys working in a structured, digital environment and takes pride in supporting a professional accounting team.

Job Summary

The Administrative Assistant is a key support role responsible for keeping workflows organized, deadlines tracked, and client information complete and accurate. This role is ideal for someone who enjoys checklists, technology, and ensuring nothing falls through the cracks.

Responsibilities

Client Communication & Support



Manage incoming emails and client inquiries professionally and efficiently Schedule appointments and manage calendars Send engagement letters, proposals, and client communications electronically Follow up with clients to collect required information

Office & Workflow Administration

Track deadlines for bookkeeping, payroll, GST/HST, and tax filings Assist with onboarding new clients into digital systems Maintain accurate and well-organized digital client files Ensure all required documents are received before work begins

Accounting Team Support



Collect, upload, and organize documents using client portals (Hubdoc, ShareFile, or similar) Monitor document flow and flag missing or incomplete items Prepare checklists and workflow updates Act as a liaison between clients and accountants to reduce back-and-forth

Accuracy & Confidentiality



Follow firm procedures and digital workflows consistently Maintain confidentiality and data security standards Review work for accuracy and completeness
Qualifications

2+ years of administrative experience (professional services preferred) Strong organizational and time-management skills Excellent written communication skills (email-focused role) Comfortable working in a fully digital, paperless environment Proficient with Microsoft Office and/or Google Workspace Experience with accounting or document management software (QuickBooks Online, Xero, Hubdoc) is an asset High attention to detail and professionalism

Pay: $17.00-$21.00 per hour
