Job Overview


We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing comprehensive administrative support to ensure efficient office operations. This role requires strong communication skills, proficiency in various software applications, and the ability to manage multiple tasks effectively. A background in customer service and office management is preferred.

Duties



Manage front desk operations, handling inquiries. Answer and direct calls using multi-line phone systems with excellent phone etiquette. Perform data entry, filing, and maintain organized records for easy retrieval. Assist with calendar management to schedule appointments and meetings. Provide customer support by addressing client needs and inquiries promptly. Utilize Microsoft Office and Google Workspace for document preparation, spreadsheets, and presentations. Conduct bookkeeping tasks as needed, including basic accounting functions using QuickBooks. Proofread documents to ensure accuracy and professionalism in all communications. Support the team with clerical tasks such as typing correspondence and managing office supplies. Maintain confidentiality of sensitive information while providing administrative assistance.

Requirements



Proven experience in an administrative role or related field is required. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace is essential. Experience with QuickBooks or similar bookkeeping software is a plus. Strong organizational skills with the ability to manage time effectively and prioritize tasks. Excellent written and verbal communication skills; bilingual candidates are encouraged to apply. Familiarity with front desk operations and customer service best practices. Ability to handle multi-line phone systems efficiently while maintaining professionalism. Previous experience as a dental receptionist or medical receptionist is advantageous but not mandatory. Strong computer literacy with a focus on data entry accuracy and attention to detail. Personal assistant experience is a plus, demonstrating capability in supporting executives or teams.
