Clifton is currently searching for an Administrative Assistant to join our Calgary office. In this office-based role, you will be a valued member of Clifton's Administrative Practice Group. In this office-based role, you will be responsible for delivering essential administrative support to the local office, while also contributing as a valued member of Clifton's corporate Administrative Team. You will assist with various projects and administrative tasks, ensuring a welcoming environment and contributing to efficient operations. This role requires an adaptable, detail-oriented professional who enjoys supporting others and contributing to the successful operation of the office.

Key Responsibilities

Providing detailed and accurate administrative support, including document formatting, data entry, and assisting with preparation of proposals, reports, and presentations. Managing front desk operations, including answering phones, professionally greeting visitors, and handling mail and courier shipments. Supporting coordination of meetings and events by booking meeting rooms, assisting with agendas, preparing materials, and arranging catering or travel, as required. Assisting with office supply inventory and ordering and supporting coordination of vendor services as directed. Assisting with onboarding and offboarding of new staff by coordinating orientations, setting up workstations, and ensuring all required documentation is completed and submitted to the relevant parties. Administering building access systems, including keys and fobs, ensuring proper distribution, tracking, and security of all building access credentials. Scheduling and coordinating in-office and virtual meetings and events, including booking meeting spaces, preparing agendas and materials, proofreading presentations, arranging catering, and booking travel arrangements. Supporting project managers with basic document control and administrative tasks, including updating project folders and assisting with procurement records in alignment with Clifton's Quality Management System (QMS). Maintaining front desk and common areas to ensure a professional and welcoming environment. Performing other duties and special projects as assigned.
Required Qualifications and Experience

High school diploma or equivalent (GED) required; a certificate or diploma in Office Administration, Business, or a related field is an asset. Previous experience in a professional office environment is an asset but not required; we are open to candidates eager to learn and grow in an administrative role. Basic proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint and Outlook). Experience with Zoom or other virtual meeting platforms is an asset. Strong written and verbal communication skills, with a customer-focused approach. Well-developed organizational and time management skills, with the ability to prioritize multiple tasks and maintain attention to detail. Demonstrated ability to take initiative, learn new tasks quickly, and work effectively both independently and as part of a team. Ability to conduct oneself in a professional and ethical manner. Commitment to safety and maintaining a safe, respectful work environment.
