We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will have a strong background in office administration and customer service, with the ability to manage multiple tasks efficiently. This role is vital in supporting our daily operations and ensuring a smooth workflow within the office environment.
Administrative Assistant Roles & Responsibilities
Answering and transferring incoming calls in a professional and timely manner
Handling all mail and courier services, including preparing packages, coordinating pick-up/delivery, and resolving related issues
Matching packing lists to company purchase orders and ensuring that the products in each delivery match the packing list
Responsible for tracking back orders
Communication with suppliers on warranty for customers
Entering inventory transfers for Intercompany
Generating invoices to customers for prepaid shipments
Focuses on accurately processing and managing customer orders, involving tasks such as data entry and verifying order details
Contacting customers for product pick up or delivery on backorders
Processing customer payments over the phone
Verify and perform daily cash receipts & perform daily reconciliation
Entering and processing supplier invoices
Contacting customers on behalf of sales for weekly customer visits
Additional responsibilities to support Accounting and Purchasing
Requirements
Minimum of 2 years' experience in an administrative or purchasing or accounting support role
Strong communication skills fluent English (both verbal and written)
A positive attitude, strong work ethic, and willingness to learn
Strong organizational skills and ability to work independently
Passion for customer service and a professional, solution-oriented mindset
Strong ability to prioritize and multitask in a fast-paced environment
Proficiency in Microsoft Outlook and Office Suite and ability to learn new software

The position will also require a Saturday shift from 8:30AM - 12:00PM during peak season.
