Responsibilities



Manage front desk operations, including greeting visitors and handling inquiries. Operate multi-line phone systems to ensure effective communication. Perform data entry tasks with accuracy and attention to detail. Maintain organized filing systems for easy retrieval of documents. Assist with calendar management, scheduling appointments, and coordinating meetings. Provide customer support by addressing client needs and resolving issues promptly. Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations. Proofread documents to ensure clarity and correctness before distribution. Support bookkeeping tasks as needed, including invoicing and expense tracking. Collaborate with team members to enhance office efficiency and workflow.

Requirements



Proven experience in an administrative role or similar position. Proficiency in QuickBooks is a plus; familiarity with bookkeeping practices is beneficial. Strong computer skills with a solid understanding of Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Excellent organizational skills with the ability to manage multiple tasks simultaneously. Effective phone etiquette and strong verbal communication skills are essential. Bilingual candidates are encouraged to apply for enhanced customer interaction capabilities. Experience with clerical duties such as filing, typing, and data entry is required. Familiarity with office management practices and customer service principles is preferred. Time management skills to prioritize tasks effectively in a busy environment.
