Position Overview
We are seeking an organized, adaptable, and compassionate Administrative Assistant to join our team. This role is central to keeping the Hub running smoothly -- ensuring communication flows effectively, systems stay on track, and the facility operates safely and efficiently.
The Administrative Assistant provides vital day-to-day support to the Executive Director, assists team members and the Board Executive, and plays a key role in financial, HR, and facility administration. The position also contributes to the positive atmosphere of the Hub by interacting with members and providing coverage in the drop-in space when needed.
Hours and Schedule
28 hours per week
Generally, Monday to Friday, 8:30 a.m. to 1:30 p.m.
One full day (Wednesday) from 8:30 a.m. to 4:30 p.m.
Must be available for occasional evenings and weekends for special events or meetings
Regular availability required between 8:30 a.m. and 4:30 p.m. on weekdays, as work hours may vary based on program schedules and operational needs
Key Responsibilities
Provide administrative and organizational support to the Executive Director, team members, and the Board Executive.
Manage office systems, filing, schedules, and correspondence.
Assist the bookkeeper in petty cash reconciliation, deposits, and other bookkeeping duties as required.
Support HR processes such as onboarding, maintaining staff records, and assisting with employment documentation; requires knowledge or willingness to learn HR procedures and compliance standards.
Manage payroll administration, which requires knowledge or willingness to learn payroll procedures, including tracking timesheets, recording vacation and sick time, and submitting information to the bookkeeper for processing in accordance with labour standards.
Coordinate communication, internal calendars, and meeting logistics.
Oversee facility maintenance schedules, ensuring all equipment is maintained, inspections are completed, and health and safety guidelines are followed.
Manage supply systems for office, program, and cleaning needs to ensure readiness and cost-efficiency.
Maintain confidentiality and professionalism in all communications and recordkeeping.
Welcoming to members and visitors; provide daily morning drop-in coverage and support other Hub activities when needed.
Adapt to daily changes and interruptions while maintaining focus and organization.
Contribute to a positive, collaborative, and inclusive team culture.
Qualifications and Skills
Minimum 2 years' experience as an Administrative Assistant or in a similar role.
Basic bookkeeping and financial administration experience or willingness to learn
Foundational HR knowledge or willingness to learn, including onboarding and record management.
Experience working or volunteering in a non-profit or community-based environment preferred.
Strong computer skills (Google Workspace, Microsoft Office Suite).
Excellent communication, organizational, and time-management abilities.
Demonstrated ability to prioritize and stay calm under pressure in an unpredictable environment.
Team-oriented, proactive, and adaptable to changing priorities.
Professional discretion and sound judgment.
Compassionate, intuitive, and comfortable interacting with participants accessing services.
Compensation and Work Environment
$20.00 per hour
12 paid civic and statutory holidays per year
Half-day work on Christmas Eve and New Year's Eve
Two (2) weeks paid vacation annually - April 1st to March 31st
Six (6) paid sick days per year
Two (2) paid days for bereavement leave

Flexibility to work from home when needed to support work priorities, with advance coordination to maintain on-site coverage
