Community Visions and Networking (Quinte) (CVNQ) is looking for an experienced Administrative Assistant/Receptionist to assist in the day-to-day administration of the agency. The purpose of the Administrative Assistant is to act as a assistant to the agency and Executive Director in a confidential and supportive role. This requires assisting with onboarding of new employees, marketing activities, financial record keeping and processing responsibilities, and administration duties as well as elements of an office coordinator role.
Confidentiality, excellent organizational skills and accuracy are important qualifications for this position, as well as good customer relations and the ability to communicate clearly. The ideal candidate for this position is a skilled multi-tasker, team player who is reliable and is committed to consistently meeting deadlines.
The Administrative Assistant reports directly to the Executive Director and works in collaboration with the CVNQuinte team.
General responsibilities but not limited to:
Office Management
Serves visitors by greeting, welcoming, and directing them appropriately.
Notifies personnel of visitor arrival.
Maintains security and telecommunications system.
Informs visitors by answering or referring inquiries.
Directs visitors by maintaining employee and department directories.
Operates telecommunication system for main phone and console operation.
Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
Reception duties, process incoming & outgoing mail, ensuring flow of required reports incoming & outgoing
Maintains accurate records, completes relevant forms, maintains confidentiality and integrity of information.
Maintain good working relationship with suppliers, people receiving services, other agency personnel, and external partners.
Systems maintenance for documentation current and historical.
Contribute to problem solving around support issues, administration
Prepare and distribute all hiring & orientation information for employees, students, and volunteers.
Assist Administrative team as needed
Marketing
Fundraising events
Social Media management
Other duties as assigned
Qualifications
Computer experience in MS Office Software
Knowledge of Network/Server Environment
Knowledge of office procedures and reception duties
Experience with office administration
Skills, Abilities & Knowledge
Ability to work independently and with minimal supervision
Excellent organizational and communication skills
Ability to work as a team member
Adaptability, flexibility and a willingness to respond to a variety of different situations
Knowledge and experience with community-based organizations
Ability to interpret Regulations & Legislation in relation to Occupational Health & Safety
Hours of Work:
Monday - Friday 8:30 a.m. - 4:30 p.m.
