Aplin is seeking a highly organized and detail-oriented individual with previous government experience to join our client\'s team as an Administrative Assistant. This role requires familiarity with various administrative tasks in a government setting, proficiency in utilizing the ARTS (Action Request Tracking System), and expertise in Microsoft Office programs such as Word, Excel, Outlook, PowerPoint, SharePoint, and Adobe Acrobat/Elements. The ideal candidate will possess exceptional grammar, punctuation, spelling, and proofreading skills, as these are essential for maintaining accuracy in government documentation. Knowledge of Livelink, a document management system, would be beneficial but is not a requirement. While prior experience with real estate matters is considered an asset, it is not essential for this position.

Responsibilities

  • Utilize the ARTS system to manage and track action requests, ensuring timely completion and accurate record-keeping.
  • Create, edit, and format documents using Microsoft Office programs, including Word, Excel, Outlook, PowerPoint, SharePoint, and Adobe Acrobat/Elements.
  • Review and proofread documents to ensure accuracy, consistency, and adherence to government guidelines.
  • Assist with organizing and maintaining electronic and physical files, ensuring proper documentation and easy retrieval.
  • Collaborate with internal teams and external stakeholders to facilitate effective communication and coordination.
  • Provide administrative support to government personnel, such as scheduling meetings, managing calendars, and making travel arrangements.
  • Conduct research and compile information for reports, presentations, and other materials as required.
  • Respond to inquiries and requests from colleagues, clients, and the public in a professional and courteous manner.
  • Stay updated on relevant government policies, procedures, and regulations to ensure compliance in administrative tasks.
  • Perform other duties and responsibilities as assigned.
Qualifications
  • Previous experience working in a government setting is required.
  • Proficiency in using the ARTS (Action Request Tracking System) for managing and tracking action requests.
  • Strong knowledge and proficiency in Microsoft Office programs, including Word, Excel, Outlook, PowerPoint, SharePoint, and Adobe Acrobat/Elements.
  • Excellent grammar, punctuation, spelling, and proofreading skills.
  • Highly organized with the ability to multitask and prioritize tasks effectively.
  • Strong attention to detail and commitment to accuracy in documentation.
  • Ability to work both independently and collaboratively in a team environment.
  • Excellent communication and interpersonal skills.
