As an Administrative Assistant to the Chief Housing Officer (CHO) you will provide senior administrative support to the Chief Housing Office, and the Housing Collaborative Committee and related sub-committees. Primary duties include:

Manage the CHO's scheduling and inbox. Coordinate and schedule meetings, compile and distribute agendas and meeting materials and take meeting minutes. Liaise with Council members, the Mayor's office, representatives of the provincial and federal governments, and other internal and external clients to prepare, edit and distribute reports. Prepare and distribute correspondence, maintain electronic and hard copy files, process mail, update and maintain manuals and contact lists, and respond to or redirect inquiries from clients. Support the records management for the office including establishing file structures, reviewing transitory records and responding to Freedom of Information and Protection of Privacy (FOIP) requests. Reconcile credit card statements. Coordinate logistics for special events such as town hall meetings, property tours and conferences. Provide technical support for tracking systems and coordinate the creation of annual timelines and work plans.


Qualifications

A completed 1-year certificate in Office Administration or Business Administration and at least 5 years of experience working in a senior administrative position. Intermediate proficiency with Microsoft Office (Outlook, Word, Excel, Teams) is required. Knowledge of governance and legislative processes such as the FOIP Act and The City's Procedure Bylaw is preferred. Strong understanding of records and document management including filing systems. Excellent communication skills and the ability to build and maintain professional relationships with internal and external clients. Exceptional time management and organizational skills and the ability to resolve conflicting priorities. The ability to exercise confidentiality, discretion and political acumen.

Workstyle:

This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees. These arrangements depend on the operational requirements of the role, employee suitability, and are subject to change based on operational needs and corporate direction.

Compensation: Pay Grade 7 $35.45 - 47.43 per hour
Days of Work: This position works a 5 day
work week with 1 day off in a 3 week cycle.

Hours of work: Standard 35 hour work week
