We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical and customer service skills, with experience in office management and familiarity with various software tools. This role involves managing daily administrative tasks, supporting front desk operations, and ensuring smooth communication across departments. Duties
Open and distribute mail and other materials
Plan and organize daily operations
Record and prepare minutes of meetings, seminars and conferences
Schedule and confirm appointments
Answer telephone and relay telephone calls and messages
Order office supplies and maintain inventory
Negotiate collective agreements on behalf of employers or workers
Type and proofread correspondence, forms and other documents
Work with customers, architects and engineers regarding plans and specifications
Assist in preparing estimates, schedules, specifications and reports
Schedule and co-ordinate work on sites
Prepare contract documents and review and evaluate tenders for construction projects
Compile, verify, record and process applications, licences, permits, contracts, registrations, requisitions, and other forms and documents
Perform clerical duties, such as maintain filing and record systems
Consult clients to prepare contracts and project specifications
Qualifications
Strong computer skills, including proficiency with Microsoft Office (Word, Excel), Google Workspace, QuickBooks, and data entry software
Excellent organizational skills with the ability to manage multiple tasks efficiently
Exceptional customer service skills with professional phone etiquette for handling multi-line phone systems
Attention to detail for proofreading documents and maintaining accurate records
Ability to work independently with minimal supervision while being a team player
Strong typing skills with a focus on accuracy and speed
Inspection report (pre-trip, en-route, post-trip)
