Summary



This Administrative Assistant role is an essential member of our front desk team, providing support to ensure smooth daily operations and excellent client service. While not the primary receptionist, this individual assists with front desk duties, covers for the receptionist during absences, and contributes to efficient office administration. The role also involves supporting office logistics, providing administrative support to staff and lawyers, and handling various tasks as assigned by the department head.

Responsibilities



Assist with front desk operations by answering calls, greeting clients, and collaborating effectively with team members. Provide reliable coverage for the primary receptionist during vacations, absences, and peak periods to ensure seamless service. Maintain a positive and professional rapport with clients and colleagues. Manage daily office runs as backup, including picking up food and drinks for meetings, distributing outgoing mail, making bank deposits, and ensuring the timely delivery of important documents. Perform a variety of administrative tasks and special projects as assigned by the department head, such as: coordinating office supply orders and inventory management; overseeing file storage, organization, and retention compliance; and assisting with troubleshooting and initial resolution of basic technical issues.

Qualifications



Previous experience in an administrative or office support role, preferably in a professional services environment Strong problem-solving, organizational, multitasking, and prioritization skills Excellent verbal and written communication abilities Proficiency with office productivity software and tools Ability to work independently and collaboratively in a dynamic office setting Valid driver's license for errands and deliveries
