The Role:

Reporting to the Director of Finance Shared Services (Order to Cash), you will work closely with the Shared services Order to cash teams and Internal Audit team in PINC and PI to support their day-to-day needs and execution of administrative tasks within the departments. The FSS OTC Administrative Assistant will ensure quality and accurate data reporting related to the compliance or financial needs of the Shared Services OTC and Internal Audit teams. You are a highly organized individual and are able to build effective relationships within the different teams and departments including within job levels both within the organization and with external customers and vendors.

The Administrative Assistant will be required to support two directors and have the following day to day responsibilities:

  • Manage and coordinate directors calendar and make informed decisions to prioritize and maximize their daily schedules
  • Prepare, maintain and analyze finance documents and reports and submit to appropriate parties
  • Department event coordination and support (Employee recognition, Diversity & Inclusion, Purolator Tackle Hunger, Employee engagement activities, Townhall arrangements and set ups)
  • System order placement and follow up of IT assets and requirements for the teams
  • Tracking and follow-up to ensure timely completion of all training requirements and annual training certifications
  • Tracking of vacation schedules of direct reports of directors and entry into SAP system
  • Process invoices for payables, set up Vendors with Purchase orders as needed
  • Process expenses, reimbursements
  • Order office supplies
  • Making travel arrangements as well as itinerary management
  • All other related and assigned administrative duties
To be successful, you should have:

preferred 3-5 years of administrative experience as an Assistant in a customer service driven and fast-paced environment;

Demonstrated aptitude to prioritize tasks based on comparative importance and urgency;

Ability to work with minimal supervision and direction;

Advanced level knowledge of common industry software such as Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams), Adobe Acrobat;

High level interpersonal skills and can interact with a wide range of individuals effectively;

Detail-oriented, resourceful, and effective problem solver with strong critical thinking skills;

Ability to make informed decisions with limited guidance;

Able to demonstrate a strong aptitude to prioritize tasks based on comparative importance and urgency;

Flexibility to work irregular hours from time to time, if required;

Excellent communication skills (written and verbal)
