The Administrative Assistant A position leads all secretarial and administrative duties in the centre/department for a senior executive position. In addition this position will focus on Human Relations.

  • Full time
  • 30 hours per week
  • Monday to Friday 8:00 a.m. - 2:30 p.m. with hr lunch unpaid
KEY RESPONSIBILITIES:

General Administration
  • Drafts and types correspondence (eg. Letters dealing with administrative issues, dictation, acknowledgements); checks typing for accuracy, sorts and prioritizes typing assignments within general guidelines; researches and responds to difficult enquiries on behalf of supervisor
  • Performs general office duties such as answers and screens telephone calls and directs enquires and answers inquires; greets and escorts visitors; files documents electronically or manually; photocopies and distributes materials as requested; and sends and receives fax/email material as requested; resolves routine inquiries
  • Handles and ensures the protection of extremely confidential and sensitive employee/Officer, client and/or program files
  • Builds and maintains employee databases
  • Drafts and prepares presentations, brochures, fliers, advertisements, invitations and certificates subject to supervisory approval (eg. Power point presentations)
  • Schedules meetings, prepares agenda, and takes minutes; type and circulates minutes
  • Prepares and receives all paper work for various projects and processes specifically related to Human Relations
  • Makes decisions on routine and urgent administrative matters in the absence of the supervisor
Admin Human Relations
  • Keeps all personnel files up-to-date
  • Enters all employee information into payroll database
  • Is involved with all parts of Job Postings eg advertising, scheduling interviews, interviews and completing reference checks
  • Completes orientation of new employees
  • Processes WCB Claims, Health Benefits & RRSP applications
Admin Payroll
  • Completes timesheets
  • Answers questions from Employees regarding payroll
QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:
  • Completed High School
  • Specialized courses of up to six months
Experience:
  • One year but less than three years of prior related experience, including, administrative experience and experience dealing with office equipment and tools
  • Some experience in Human relations processes is preferred
Successful candidates, prior to hiring, may be required to provide:

PREFERRED SKILLS/CAPABILITIES:
  • Excellent Computer skills in Microsoft Office (Word, Excel & Outlook) are essential
  • Demonstrates an ability to work independently and collaboratively with others
  • Must be well-organized, adaptable and professional
  • Must have a strong ability to handle confidential information appropriately, be discreet, and be diplomatic
  • Excellent written and oral communication skills
  • Respect and understanding of The Salvation Army - its mission, culture and values
  • Physical ability to carry out the demands of the position
  • Ability to lift weights of up to 20 lbs on occasion
