We are currently recruiting for an Administrative Assistant (AA) (12 Month Contract with Benefits) to join the Capital Markets and Factor Investing department in Toronto. The Administrative Assistant will report to the Head of Investment Engineering and Analytics (IEA) Group and work closely with the IEA team as well as the Systematic Strategies Group (SSG). The AA will be responsible for providing day-to-day administrative support to the two teams and assisting the Executive Assistant to the Head of SSG. The role will include managing calendars, meetings, expenses, events, presentations, traveling arrangements, correspondence, and departmental initiatives. Role-specific Accountabilities:
  • Provide general administrative support to high performing teams of finance/investment professionals
  • Assist the Executive Assistant of SSG in all administrative task in addition to supporting the IEA team.
  • Manage multiple calendars on behalf of executives, working with other departments to coordinate meeting booking.
  • Handle highly sensitive and confidential matters relating to the daily activity of the department and/or organization.
  • Help coordinate and manage critical internal processes for the teams
  • Co-ordinate, arrange and oversee team event planning process (e.g., offsites, team building events: find venues, coordinate Vendor contracts and payment, communicate with department, etc.), as required.
  • Reconcile credit card expenses and input into Expense Reporting System.
  • Book and manage complex global travel arrangements, itineraries or other duties related to support professionals who travel globally.
  • Work closely with other executive assistants and teams to increase efficiencies and provide overall departmental support.
  • Be a CPP Investments\xe2\x80\x99 ambassador by playing a key role in representing the investment business internally and externally. Conduct work in professional, friendly, easily accessible, and approachable manner.
  • Work cross functionally as part of a team with other members and departments.
  • Accommodate and complete staff requests within the deadlines or on a timely basis.
  • Assist with meeting room bookings for internal and external meetings, including guest registration, technology requirements and catering orders as needed.


Qualifications
  • College diploma or undergraduate degree is required.
  • 2-5 years of experience gained from fast-paced, professional environment
  • Experience providing support to multiple professionals and managing competing priorities.
  • Experience with complex calendar management, booking high profile meetings, events, scheduling travel and managing expense reimbursement process.
  • Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar) and comfort and interest in learning new applications.
  • Extremely motivated, eager to learn, adaptable, calm under pressure and professional.
  • Able and willing to work flexible hours, as required.
  • Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task.
  • Exceptional (written and verbal) communication skills and interpersonal skills.
  • Ability to work in a high performing culture, under pressure and with time-sensitive deadlines
  • Personable, easily interacts with all types of personalities and at all levels with a high degree of professionalism.
  • Proven ability to work independently as well as to perform effectively in a team-oriented and open-concept environment.
  • Interest in the investment industry is considered an asset.
