Job Description

We are seeking an organized, detail-oriented, and proactive Administrative and Shop Coordinator to support the smooth operations of our organization; manage day-to-day administrative and financial tasks; coordinate our online shop and product inventory; deliver excellent customer service; and contribute to Shoresh's programs, events, and community impact.

Key Responsibilities



Administrative Support

Monitor the general inbox and phone line, respond to inquiries, and direct emails and calls to the appropriate team members in a timely and professional manner; Provide support with data entry and database maintenance (e.g. mailing lists, registration forms, donation tracking); Assist Executive Director with board meeting preparations and governance; Assist with preparing invoices, reimbursements, and other basic financial administration tasks; Carry out weekly bookkeeping tasks in coordination with the Operations Manager.
Shoresh Shuk Support

Fulfill orders from the Shoresh Shuk online shop and prepare them for delivery or pickup; Respond to customer inquiries regarding orders, shipping, and product details; Track and maintain inventory of all products, labels, and packaging supplies; Liaise with our suppliers and vendors, including our contract beekeeper; Complete manual inventory counts on a monthly basis and reorder supplies as needed; Table at in-person pop-ups and markets to sell products and promote Shoresh's work; Update online product listings with current information, including photos and descriptions; Assist with hands-on product creation as needed, such as making herbal salves, processing garlic, and other small-batch production tasks; Coordinate annual honey harvest at Bela Farm; Provide administrative support to maintain and expand retail partnerships; Assist with implementing strategic plans for Shoresh Shuk's growth and impact.
Marketing and Communications Support

Draft and distribute Shoresh's monthly e-newsletter to our community of supporters; Promote upcoming programs and offerings in relevant Facebook groups and WhatsApp chats.
Office Coordination

Book monthly office cleanings; Monitor and restock cleaning, printing, and office supplies; Support packing, organizing, and logistics related to an anticipated office move in 2026; Help maintain an organized and functional shared office environment.
Occasional Program Support

Step in as a substitute or support educator for programs as needed; Assist with shopping and packing for immersive camping programs; Support program logistics and facilitation during community events.

Schedule and Supervision



This is a full-time position; 35 hours per week, typically Monday-Friday. It may require the staff to work occasional evenings or weekends. Some flexible/remote work is possible (1-2 days/week). You will be supervised by the Operations Manager. Start date is Nov 3, 2025. This is a one year contract, with potential for extension.

The Shoresh office is located at St. Clair Ave W and Dufferin.

Compensation and Benefits



This is a salaried position (average 35h/week), and the annual salary is $43,680.00. Compensation also includes health care and dental coverage (after a 3 month probationary period), paid vacation, professional development opportunities, and paid time off for religious Jewish holidays.

Qualifications



You have experience in:

Administrative or operational support, preferably in a nonprofit or community-focused setting; Customer service and/or retail operations (online or in-person); Basic bookkeeping and financial administration (e.g. invoices, reimbursements); Order fulfillment and inventory management; Using digital tools such as Google Workspace (Docs, Sheets, Gmail, Calendar), Shopify, and Mailchimp.
You have the following personal qualities:

Highly organized, with strong attention to detail; Warm, friendly, and community-oriented; Resourceful, able to look for and figure out answers when something is unfamiliar; Proactive and initiative-driven, noticing opportunities for improvement, bringing forward ideas, and taking action without waiting to be asked; Reliable and able to work independently as well as collaboratively with a team; Comfortable managing multiple priorities and tasks in a dynamic environment; Flexible and willing to pitch in across a range of responsibilities, from administrative tasks to hands-on product preparation or event support; Enthusiastic about supporting Shoresh's mission that weaves together Jewish tradition, environmental stewardship, and community connection.

Other Requirements



Has (or will obtain) a Vulnerable Sector Screening dated within the past 2 years (Shoresh will provide the agency code for this and reimburse the cost); Has (or will obtain) current First Aid CPR-C certification (Shoresh will reimburse 50% of the cost); Comfortable working both remotely and in an in-person office environment; Available for occasional evening or weekend work to support community events and pop-ups; Has a driver's license, access to a vehicle, and is able to travel to Shoresh program or event sites across Toronto and the GTA; Able to lift and carry boxes of product or supplies as needed (up to ~30 lbs).
