Overview of position:
We are looking for a highly organized and detail-oriented person to support the organization's financial and administrative operations. This person will work closely with the coordination team and accountant to ensure smooth financial processes and compliance with internal and external requirements.
Key responsibilities:
Accounting and Financial Operations
o Prepare and process invoices (making bills, paying bills).
o Filling of receipts according to internal procedures to ensure timely and efficient bookkeeping by the accounting firm.
o Liaise with accountant as required and provide timely follow-ups when information is needed.
o Support the coordination team with financial projections and budget tracking
o Coordinate the year-end accounting review in collaboration with the external firm.
Payroll and Human Resources Administration
o Approve timesheets in Agendrix and overview the payroll process in Employeur D.
o Revision and payment of employee reimbursement claims
o Prepare and review employee and consultant contracts.
o Manage staff benefits and insurance information.
o Oversee CNESST and government compliance requirements (including declarations and correspondence).
Administration and Reporting
o Prepare financial and narrative reports for funders, ensuring accurate figures and meaningful explanations of activities and outcomes.
o Develop and maintain internal administrative procedures for existing and new projects
o Contribute to the development of new administrative tools and/or procedures to improve the organisation's efficiency
o Provide other administrative support to the coordination and field team as required

Working conditions:
o Salary according to the current task-oriented salary scale
o 12-month contract of 28-hours per week (renewable with possibility of hours increase)

o Cost-of-living differential (COLD) allowance for Nunavik based employees
