Administrative and Logistics Associate
to support our operations from either our
Vancouver, BC
or
Vaughan, ON
office.
Position Summary
This is a fast-paced, multi-faceted role supporting both the sales and logistics teams. The ideal candidate will be responsible for coordinating the movement of lumber products from mills to customers, managing carrier relationships, supporting inventory management, and assisting with administrative sales tasks.
Key Responsibilities
Logistics Coordination
Collaborate closely with internal teams (sales, logistics, and accounting) to ensure seamless communication, workflow alignment, and timely execution of customer and supplier requirements.
Source and onboard new freight carriers and brokers to support shipping needs across North America.
Negotiate rates and secure cost-effective transportation for lumber shipments (flatbed, LTL, intermodal).
Book trucks and coordinate pick-up and delivery appointments with suppliers, yards, and customers.
Track and trace shipments to ensure timely delivery and address any service issues proactively.
Oversee goods receiving and maintain accurate records for inventory and shipment documentation.
Sales & Administrative Support
Assist sales team with quoting freight rates and preparing customer documentation.
Maintain up-to-date records in internal systems (ERP/CRM) including orders, rates, and shipment details.
Generate and issue invoices; manage necessary shipping documentation (BOLs, PODs, customs paperwork).
Monitor inventory levels and coordinate with internal teams to ensure stock accuracy.
Provide general administrative support to the sales and logistics departments as needed.
Qualifications
2+ years of experience in administration, logistics, supply chain, or transportation; lumber or building materials industry experience is a strong asset.
Strong attention to detail with excellent organizational and communication skills.
Confident negotiator with the ability to build and maintain relationships with carriers and vendors.
Proficient in Microsoft Office (Excel, Outlook, Word); experience with ERP or inventory software is an asset.
Bilingual (English/French) is a strong asset but not required.
Familiarity with cross-border logistics and transportation regulations is a plus.
