Administrative & Accounts Receivable Coordinator

Job Description

Neptune Bulk Terminals (Canada) Ltd., a leading bulk material export facility located on the North Vancouver waterfront is seeking an individual to join our Finance team. The Administrative & Accounts Receivable Coordinator is responsible for performing duties in the accounting and administrative areas. This is a role that works closely with the finance team and collaboratively with other teams at Neptune. This role is a full-time, on-site, one-year term position, reporting directly to the Assistant Controller. This is a 12-month term contract.

Candidate should possess a diploma in business management or accounting. Bachelor's degree in business management or accounting is preferred. 3- 5 years of office/ administrative experience, experience in full-cycle accounting, and familiar with accounting software (ie. JDE) would be an asset.

Key responsibilities:



Maintain the general office (ie. monitor and order office supplies, office snacks and beverages and replenish kitchen supplies as needed, arrange catering) Process all incoming and outgoing mail Answer incoming calls and redirect as required Attends to the reception area and greet visitors Arrange for courier service Manage temporary visitor fobs Maintain PPE storage and prepare PPE for all visiting guests Ensure the reception area, kitchens and meeting rooms are in good condition, and manage recycling program Maintain log for cleaning staff Assist the Executive Assistant/other Managers with adhoc administrative tasks Assist with special events (ie. reconciliation, annual celebrations, community tours and other social events) Maintain the central filing system and document storage Prepare invoices for billing customers and 3rd party agencies in a timely manner Assist the senior accountant with managing Neptune's standardized billing system Assist the senior accountant with maintaining accounts receivable and keeping current Assist with various projects, accounting and administrative support Assist with ad hoc journal entries and other month/year end closing tasks Receiving, moving, unboxing office supplies Other duties as assigned

Strong working knowledge of Microsoft Office Suite May be required to lift up to 30lbs infrequently Excellent time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment Excellent communication skills (written and verbal) Solid ability to apply initiative and initiate work where required Demonstrated ability to maintain discretion with confidential information Strong work ethic and positive team attitude Welcoming and friendly demeanor Valid Class 5 BC Driver's License
