We are seeking an experienced Administration Officer to join us. The Administration Officer will handle a wide range of administrative and human resources functions. This position is ideal for someone with architecture-industry experience, exceptional written and spoken English, experience with proposal drafting, and the ability to work independently while managing multiple tasks in a busy office.
Duties
Carry out administrative activities of the establishment
Implement, review, and oversee administrative procedures
Co-ordinate and plan office services
Organize meetings and activities
Prepare and negotiate contracts with vendors
Conduct research, record and relay information to facilitate decision making
Assemble data and prepare periodic reports, manuals, correspondence, and meeting minutes
Prepare routine business (and on occasion government) correspondence
Prepare, and assist in review of, business proposals
Recruit, hire, and onboard staff, and advise job applicants on employment requirements and terms of employment
Monitor staff performance, conduct performance reviews, resolve conflict situations, and maintain records of employee attendance, leave, and overtime to calculate pay and benefits entitlements
Terminate and offboard staff
Administer benefit and other human resources programs
Advise managers and employees on staffing policies and procedures
Enforce, administer, and develop policies
Ensure compliance with government regulations
Ensure appropriate business/commercial licenses are in place
Assist in the preparation of operating budget and maintain inventory and budgetary controls
Skills
3-5 years of administrative experience (architecture or related professional services preferred)
College diploma or equivalent experience
Legally eligible to work in Canada
Excellent written and spoken English
Proficiency with Microsoft Office
Experience with databases and ERP software
Strong organizational and time-management skills
Ability to work independently and handle multiple priorities in a fast-paced environment
Ability to meet deadlines and work under pressure
Attention to detail and accuracy
Strong interpersonal and communication skills
Reliability, integrity, adaptability, discretion, and teamwork orientation
