Job Summary


We are seeking a highly organized and proactive

Administrative Officer

to support our team with essential administrative functions. The ideal candidate will possess strong communication, organizational, and computer skills, and be capable of managing multiple tasks efficiently. This role involves overseeing records management, coordinating projects, and providing exceptional customer service to internal and external stakeholders. Bilingual proficiency in English and French is preferred to facilitate communication across diverse teams. The position offers an opportunity to contribute to the smooth operation of our organization while developing leadership and project management skills.

Duties



Manage and maintain accurate records, databases, and filing systems using Microsoft Access, SharePoint, and other tools Prepare reports, presentations, and correspondence utilizing Microsoft Word, PowerPoint, Excel, and Outlook Coordinate meetings, schedule appointments, and organize events with effective time management Support procurement processes and assist with budget tracking and expense reporting Provide excellent customer service by responding promptly to inquiries via phone or email Oversee project management tasks using Microsoft Project to ensure timely completion of objectives Facilitate communication across departments through written reports and verbal updates Lead or participate in team meetings, providing updates on administrative activities and project progress

Experience



Proven administrative experience in a professional setting is preferred Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with Microsoft Access, Project, SharePoint, and Windows operating systems Excellent written and verbal communication skills in both English and Mandarin. Demonstrated organizational skills with the ability to manage multiple priorities effectively Skills in analysis, negotiation, procurement, filing systems, data management, and records keeping are desirable Ability to adapt quickly to new software tools and organizational procedures

Job Type: Full-time

Pay: $18.00-$20.00 per hour

Expected hours: 40 per week
