The Role: Administrative Support Worker - Community Hubs
(Full Time - 5 Months Contract| Backfill for Maternity Leave)
The full-time Administrative Support Worker provides administrative support to the Clubs, Ready-Set-Go Preschool and Kinder Care programs. The Administrative Support worker supports with monthly licensing reporting, registration and payment tracking. This role supports the programs to ensure consistency and works with program leadership to ensure that all registration, payment and licensing regulations are followed.
This full-time position (37.5 hours/week) requires early morning availability (6am-2:30pm hours) and flexibility to support with covering program ratios as needed.
This role is a Maternity Leave coverage starting in January for 5 months with possibility of extension
Key Tasks & Responsibilities:
Administration & Program Operations
Support program registration, process payments, and track family fees; monitor shared registration and family inboxes
Manage program scheduling and audits in Avocado, including attendance, licensed-care hours, PD Day registrations, and portable records.
Work with Program Managers and payroll/finance to ensure accurate top-ups and subsidies across sites; submit required reports through the GOA Early Childhood Education portal.
Complete client intake and maintain accurate, timely data collection and database records.
Assist with accreditation requirements, licensing standards and health and safety protocols
Family & Participant Support
Engage with families in registration, subsidy applications and general navigation of Hubs program processes
Provide a safe, welcoming environment for children, youth, and families to discuss needs and goals; assist in creating support plans and referrals.
Provide daily on-site Breakfast Club supervision and Licensing Exception support for morning walking bus
Provide coverage in Hubs programs to meet ratio requirements as needed
Team Culture & Collaboration
Contribute to healthy team dynamics and integrated service delivery
Model effective communication, professional boundaries and behaviour management techniques
Build respectful relationships with children, families, community partners and staff team
Support program promotion, community engagement and partnership building
Knowledge and Skill Expectations:
Degree or diploma in Human Services or Education, with a minimum of three (3) years' experience working with children, youth, and families
Level 3 Early Childhood Educator (ECE) certification
Valid Criminal Record Check with Vulnerable Sector Search and Child Intervention Record Check
Ability to work Monday to Friday, 6:30 a.m. to 2:30 p.m., with flexibility to support evening or extended hours for program ratios and community events
Strong program planning, organizational, and time management skills; able to work independently and collaboratively within a team environment
Excellent written and verbal communication skills, with strong relationship-building abilities
Demonstrated cultural competence and understanding of diversity, equity, and barriers faced by children and families
Ability to appropriately apply behavior management strategies in both individual and group settings
Understanding of data collection tools and the importance of outcomes and objectives in program delivery
Proficiency in Microsoft Office and ability to quickly learn and navigate new database systems
Demonstrated commitment to professional development and continuous learning
Understanding of Trellis' organizational mission, strategic priorities, and policies
Reporting Relationship:
This position directly reports to a Trellis Program Manager
