to oversee the financial, administrative, and compliance functions of our security services organization. This role supports day-to-day business operations, ensures regulatory compliance across all provincial and local requirements, overlook the basic IT duties, connecting with providers, manages vendor and client documentation, and prepares professional RFPs for security contracts.
This position requires exceptional organizational skills, and the ability to independently manage multiple operational responsibilities.
Duties
Financial & Business Administration
Monitor and track office budgets, payroll support documents, invoices, and expense reports.
Prepare monthly, quarterly and annual reports as needed.
Support coordination with accounting on billing, AR/AP, and monthly financial summaries.
Maintain cost tracking for uniforms, equipment, and field resources used by security personnel.
Licensing, Compliance & Regulatory Management
Ensure all company licenses, and business registrations are up-to-date.
Maintain compliance calendars and documentation for regulatory agencies.
Operations & Office Management
Manage daily office operations, supply inventory, uniforms/equipment requests, and vendor relations and service contracts.
Serve as administrative support for operations leadership.
Maintain organized digital and physical filing systems, incident files, and compliance documentation.
Contracts, Bids & RFP Support
Assist with the preparation, writing, and submission of RFPs as needed
Assist with preparation of proposals, service agreements, post orders, and contract compliance paperwork.
Track contract renewals, deadlines, service levels, and deliverables.
Qualifications
4+ years' experience
in office management, business operations, compliance, or administrative roles (service industry strongly preferred).
Strong understanding of security industry licensing, compliance, and regulations is an asset.
Experience preparing professional RFPs, proposals, or business documentation is required.
Strong financial tracking and administrative skills.
Excellent communication, writing, and organizational ability.
Proficiency with Microsoft Office (Excel skills strongly preferred).
Ability to operate independently with strong judgment and follow-through.
