Veterans Transition Network (not-for-profit) Vancouver, BC About Us: Our story begins in 1998, when Dr. Marv Westwood met his sister-in-law\xe2\x80\x99s father, Jack Simpson, at a family function. Jack, a veteran of World War II, struggled with alcoholism and judgement from family for years. The two men sat down and struck up a conversation about Jack\xe2\x80\x99s experience during the war. It was then that the veteran, for the first time in his life, revealed that he had killed a man with his bare hands during the war. It had haunted him ever since, and finally being able to open up relieved Jack of the heavy burden he had been carrying his entire life. That moment inspired Dr. Westwood to create opportunities for other veterans to share their stories and experience the same relief that Jack had felt. Working out of the University of British Columbia, Dr. Marv Westwood and Dr. David Kuhl ran small palliative care groups of WWII and Korea veterans in 1998. The veterans wrote up the stories of their war-time experiences, and exchanged them with each other, in what Dr. Westwood calls \xe2\x80\x9cguided autobiography\xe2\x80\x9d sessions. The program was a great success \xe2\x80\x93 for the majority, it was the first time they had ever shared what they went through. At the end of the program, however, one participant quipped, \xe2\x80\x9cGreat program Westwood, but you\xe2\x80\x99re 50 years too late. You need to do something for the younger guys coming back now.\xe2\x80\x9d And so, the first incarnation of the Veterans Transition Program was born. Job Summary: This bilingual position provides frontline communication with the public, donors, and veterans. Coordinates, oversees, and/or performs a wide variety of administrative and program support activities on behalf of the leadership team of VTN. Serves as primary point of operational and administrative contact for internal and external constituencies. Coordinates the provision of office and staff support services to the office, and oversees and/or participates in the coordination, supervision, and completion of special projects and/or events. What you will be working on:
  • Monitor and respond to all social media platforms (Facebook/Twitter/Instagram) comments daily
  • Create and schedule posts in collaboration and with direction from the Communications & Multimedia Specialist
  • Coordinate and oversee French translations and ensure consistency across French and English communications, including website, AdWord, and printed materials
  • Liaise with Quebec Manager to identify RTV communications needs and opportunities
  • Paid ad campaigns (Facebook, Google)
  • Manage and maximize the potential of VTN\xe2\x80\x99s Google AdWord Grant
  • Manage acknowledgements (thank you cards, In Honour cards)
  • Manage marketing materials (working with Staples, ordering materials for coordinators/events)
  • Inventory at the office
  • Accounts Payable and Accounts Receivable
  • Data entry and clean-up and management of donor data
  • Tax receipts
  • Pulling reports
  • Add emails/documents to relevant donor/stakeholder files
  • Support the Executive Director with calendar management and ad hoc requests
  • Maintain photo and video libraries
  • Clean up Box Drive
  • Responds to inquiries by phone and email
  • Review/update Resources webpage (make sure phone numbers, webpages still work, etc.)
  • Answering the phone and directing callers to the appropriate resource
  • Assembly and distribution of Board of Directors meeting materials ahead of Board meetings
  • Transcribing minutes of Board of Directors meetings
  • Renewal of insurance/business licenses
What you bring to the role:
  • Certificate in Office Administration
  • Minimum of 3 years experience in a similar role
Skills and Abilities:
  • Bilingual (French and English)
  • Excellent communication skills, both written and verbal
  • Ability to self-motivate as well as work effectively as part of a team
  • Working knowledge of CRMs
  • Experience with social media and updating websites
  • Advanced skills with Microsoft Office and/or Google Docs
  • Meticulous approach to administrative tasks
  • Experience with Accounts Payable and Accounts Receivable is an asset
