Position Overview
An immediate need exists for a
Casual Administration Assistant/Receptionist
. The successful candidate must be available to work days and some evenings, with flexibility to cover additional shifts as required. Please note that the schedule and hours of work may change due to operational requirements.
The Administration Assistant/Receptionist is an integral part of the interprofessional primary care team. This position is responsible for front-line reception, patient registration, scheduling, communication, and general office/clinical support, helping to ensure smooth clinic operations and an excellent patient experience. The role will also support initiatives aimed at improving access to primary care.

Key Responsibilities:
Greet and register patients, ensuring accuracy of demographic and health information.
Answer phones, manage voicemail, triage calls, and direct inquiries appropriately.
Book, confirm, and reschedule appointments in the EMR system.
Process referrals, requisitions, faxes, and incoming/outgoing correspondence.
Notify patients of upcoming appointments and follow-up requirements.
Collect payments, process receipts, and follow up on outstanding accounts.
Perform accurate data entry and scanning into the EMR.
Monitor and respond to physician and provider messages in a timely manner.
Maintain office supplies and support day-to-day clinic operations.
Follow office opening and closing procedures.
Escort patients into exam rooms and prepare them for visits.
Take and record vital signs, including blood pressure, heart rate, temperature, and weight.
Perform urine dip tests and other simple point-of-care tasks as directed.
Ensure exam rooms are clean, stocked, and ready for use.
Support infection prevention and control practices when preparing rooms.
Qualifications:
Medical Office Assistant Diploma or Administrative Assistant Diploma.
Current CPR certification for Health Care Providers.
Experience working in a medical or healthcare office setting preferred.
Commitment to best practices in patient-centered care.
Experience working as a member of an interdisciplinary health team.
Knowledge of medical terminology.
Proficiency with TELUS Practice Solutions EMR an asset.
Strong organizational, time management, and multi-tasking skills.
Ability to work independently and collaboratively in a fast-paced team environment.
Excellent verbal and written communication and customer service skills.
Detail-oriented with exceptional documentation accuracy.
Flexible, adaptable, punctual, and reliable.
Familiarity with rural medicine considered an asset.
