Admin + Client Services Lead
to join our team. This full-time, Monday-to-Friday role is ideal for someone who thrives in a fast-paced environment and enjoys being the go-to hub for client service and administration.
Role Summary
As the
Admin + Client Services Lead
, you'll be responsible for overseeing the administrative and client-facing functions of our business. You'll coordinate orders, handle customer communications, process payments, and maintain organized systems -- supporting both our internal operations and the premium experience we promise our clients.
Key Responsibilities:
Accounts & Admin
Process daily billing, including credit card payments using a physical terminal
Manage accounts receivable and accounts payable
Upload supplier invoices to DEXT (our accounting system)
Prepare and schedule outgoing payments
Work alongside our bookkeeper to ensure accounts are accurate and up-to-date
Maintain organized digital records and filing systems
Keep the office workspace tidy and functional
Order Coordination & Customer Service
Answer phone calls, texts, and emails promptly and professionally
Receive and process client orders daily using Shopify
Prompt wholesale clients for weekly orders and ensure order cutoffs are met
Communicate order details to the Production Manager, flagging special requests or priority items
Provide product information and respond to inquiries from both consumers and industry clients
What We're Looking For
Strong verbal and written communication skills
Exceptional organizational and time management abilities
Detail-oriented, reliable, and self-motivated
Comfortable with tech tools: Shopify, email, Google Drive, DEXT, Spreadsheets, etc.
Previous experience in administrative support, customer service, or bookkeeping is a strong asset
Experience in food, beverage, hospitality, or small business environments is a plus
Schedule & Compensation
Hours:
Monday to Friday, approx. 8:00am-5:00pm
Location:
In-person at our Dartmouth facility (107 Research Drive)
Compensation:
Competitive, based on experience
