Administrative Assistant + Project Coordinator



We are seeking an experienced administrative assistant & project coordinator to join our growing team! This role will report directly to, and work directly alongside the owner of Peppers Upholstery Studio.

Responsibilities and Duties



Include but not limited to:

Coordinate details across multiple projects in a fast-paced environment Schedule and organize project timelines, materials, and purchases Manage schedules and workflows to ensure deadlines are met Managing budgets and budget tracking Performing site visits when/if required, project pickups, site photos and measurements etc. Occasional meetings with clients in office showroom for material selections Client care and streamlining processes to ensure a positive customer experience Development and maintenance of project & company filing systems. Learning & maintaining Jobber company software management tool to track vendors and quotes Creating client files including project details & work orders Working with the owner & team to establish, implement, review and improve systems, software, and procedures for all departments. This includes maintaining accounts payable, material ordering, etc. Liaising with trades, suppliers, customers, and internal team Social media posting and communications on Instagram Assisting with scheduling and organizing meetings and special events Arranging travel, hotel and car rentals as needed Maintaining general office cleanliness and office supplies

Requirements and Qualifications



2+ years experience in administrative or coordinator role Post-secondary education with Certification or Diploma in Office Administration will be considered an asset Intermediate computer skills with knowledge in Microsoft Office programs including Word and Excel Proficiency with project management software Jobber, and accounting programs such as QuickBooks considered an asset Proficiency in Instagram social media platform considered an asset Attention to detail and punctual Self-motivated Strong organizational and multitasking skills Ability to handle a fast-paced, sometimes chaotic schedule, with grace Problem solving skills to think quickly and adapt to change Excellent written and verbal communication skills with the ability to work with diverse personalities Drivers license and personal vehicle required Ability to lift approximately 50lbs
About the position

Full-time, permanent in person role 40 hours per week, office hours 8:00AM to 4:30PM, Monday to Friday Competitive pay based on industry standards Paid time off and health spending allowance On-site parking available
