Job description: Position Purpose summary: The Administrative Assistant is responsible for front desk reception and administrative duties based at the main welcome center of Grace Village. This position handles all front desk enquiries, screen and direct visitors to the appropriate departments or programs housed at Grace Village, monitor security cameras, and report suspicious activities in and around the building. Reporting to the Executive Assistant, this position supports various administrative duties assigned. Accountabilities: Front Desk Reception
  • Handle all front desk enquiries, telephone calls and directing the same to the appropriate department or program in a respectful and courteous manner.
  • Notify respective department or program personnel that their visitor/customer/client has arrived for their appointment.
  • Ensure visitors sign-in and sign-out on the visitor\xe2\x80\x99s log book.
  • Always maintain cleanliness of the front desk and carry out screening protocols as required.
  • Receive packages and mail and distribute to the respective department or program.
Security Camera and Building Access Monitoring
  • Monitor front desk camera for activities in and around the building.
  • Report and direct suspicious activities to the appropriate personnel.
  • Ensure new program participants have access to their program by issuing them with key fob access after verifying with the respective program personnel.
  • Configure fobs for staff as required when notified by Human Relations
Administration
  • Support all administrative duties as assigned by the Executive Assistant
  • Maintain databases and compile reports as required.
  • Maintain updated in-house directory, emergency contact numbers-police, fire department, hospitals, security company, other relevant community services agencies contact number.
  • Maintain Emergency & Preparedness binder, Policies & Procedures manual, OH&S manual.
  • Produce and distribute correspondence memos, notices, letters, faxes, and forms.
  • Create brochures, posters, advertisement, flyers.
  • Other related duties as required.
Qualifications and Education requirements: *NOTE: For some jobs, you may be required to provide validated educational documentation. Education/Certifications:
  • Completed up to two (2) years of Community College with certification in administration or other related discipline preferred.
  • Criminal Police Investigation Check with Vulnerable Sector Check
Experience:
  • Minimum 2-3 years experience in an office environment preferably in Human Services or Social Services field.
  • Familiar working among marginalized clientele in residential setting, transitional house and/or other inner city work is an asset.
  • Must be proficient in MS Office Suite, Excel, PowerPoint, and email at intermediate level or higher.
  • Ability to learn and operate office automation and new computerized systems
