Job Description


This position will be reporting to the Clinical Leader Manager of Trauma & Neurosurgery Intensive Care Unit (TNICU) & Wound Care Team. In this role, the Administrative Assistant will provide administrative support to the CLM of the TNICU & The Wound Care Team.

DUTIES & RESPONSIBILITIES:

Provides organizational and administrative support to the Program Leadership and Staff including: preparing correspondence (e.g. letters, memos), sorting mail, preparing spreadsheets, filing, and updating employee information.

Arranges Courier services, photocopying, ordering supplies, equipment maintenance, preparing and typing document, packages and presentations and monitoring office activities.

Schedules meetings, books rooms through the hospital\xe2\x80\x99s scheduler Plus system, records and distributes minutes, agendas and other materials.

Takes minutes at meetings.

Assists Leadership with the maintenance of the staff scheduling system.

Responsible for administrative staff payroll preparation, entry and follow up reports/ staffing activities. Supports payroll across the two areas.

Oversees/coordinates events and arranges meetings.

Types and provides assistance with the preparation of research documents, teaching materials for managers and program staff.

Creates slides, handouts, presentation materials

Arranges for interviews and prepares interview packages

Maintains files and staff database summaries for training and certification

Manages data entry of biweekly payroll

Assists with execution of departmental events by booking rooms, catering, arranging advertising, and room set up and take down

Continuously seeks opportunities for quality improvement

Arranges Interviews

Provides excellent customer service and serves as a front-line representative and communication relay person for the department

Other responsibilities as requested.

QUALIFICATIONS:

Graduate of a recognized office Administration program and /or equivalent combination of education and experience

Minimum of 2 years\xe2\x80\x99 previous administrative experience in a Hospital setting required.

Proven computer ability with advanced knowledge of Microsoft Word, Excel, Power Point, Empath, Electronic mail and internet.

Excellent interpersonal, communication (good written and oral English Language skills),organizational and customer service skills.

Knowledge of managing highly prioritized projects simultaneously in order to ensure all projects are running smoothly

Demonstrates initiative, is self-starter and able to work independently.

Demonstrates the ability to problem solve and multi-task in a busy environment.

Demonstrates the ability to work effectively in a team environment.

Demonstrates an understanding of the Hospital\'s mission and values

Knowledge of medical terminology is an asset

Must have excellent attendance/punctuality record
