Accounts Receivable Clerk

Position Summary
A member of the Condrain group of companies, Metrus Properties was founded in 1972 and since then has become an acknowledged leader in development and property management, with a portfolio of over 16 million square feet of industrial, retail and office. Today we plan, build, lease, and manage a broad spectrum of properties, providing a complete range of infrastructure and construction services. We are currently hiring an accounts receivable clerk to perform day-to-day accounting support with respect to tenant and customer Accounts Receivable for Metrus Properties.
Key Responsibilities:

  • Administer all tenant revenue collection (for properties assigned) in accordance with the terms of the tenant lease including:
    • Monitoring all tenant receivables to ensure timely collection
    • Informing VP of Property Management of status of overdue accounts
    • Issuing of default notices to tenants as directed by VP of Property Management
  • Prepare and send tenant correspondence including invoices/credit notes, tenant account statements, initial move in letter, rental schedules with pertinent lease details.
  • Scan initial move-in letter and rental schedule to the Lease folder.
  • Review all new tenant lease set-up\xe2\x80\x99s in Yardi system to ensure that they are consistent with the terms outlined in the lease. Report any discrepancies to Accounting Supervisor.
  • Prepare all move-out summaries and ensure that the tenant account is fully reconciled in Yardi. Ensure the account balance is cleared from Yardi in accordance with Controller instructions.
  • Respond to tenant enquiries related to tenant accounts receivable or any lease charge issues.
  • Generate and review monthly A/R reports with Controller and VP of Property Management.
  • Generate and post the monthly rent roll for your assigned properties. Compare posting to last period to identify any discrepancies.
  • Prepare and distribute necessary correspondence to enroll tenants into the Metrus EFT payment program.
  • Apply all tenant payments toward their account, including monthly cheques, post-dated cheques and electronic fund transfers. Request bank statements from the Controller to confirm receipt of monthly EFT\xe2\x80\x99s.
  • Scan all tenant cheques and reconcile deposit batches within the banking facility RDC site. Submit deposit package to Accounting Supervisor for daily electronic submission and deposit to bank.
  • Retain and file cash receipt packages by property (copies of scanned cheques to be retained in Cash Receipts folder)
  • Box and file all cash receipt folders upon completion of the properties fiscal year.
  • Perform related clerical duties, such as word processing, maintaining filing and record systems, faxing and photocopying.
  • Ensure and enforce compliance to all company, client and legislated Safety policies and procedures
  • Any additional duties and responsibilities as may be assigned from time to time.

Education and Experience
  • Completion of college, or other business administration courses are an asset
  • Knowledge of general accounting procedures
  • Knowledge of computers and relevant software applications: Microsoft Office, Yardi Voyager
  • Knowledge of customer service principles and practices

  • Strong mathematical ability
  • Valid Ontario \xe2\x80\x98G\xe2\x80\x9d driver\xe2\x80\x99s license

Health and Safety
  • Work in compliance with the provisions of the OHSA, regulations, and internal policies and procedures
  • Report to his or her Manager any missing or defective equipment or protective device which could endanger any person
  • Report to his or her manager the contravention of the OHSA, regulations, or company H&S policies and procedures or any observed hazard
  • Refrain from operating any equipment, machine, device or thing or otherwise working in a manner that may endanger anyone
  • Avoid engaging in any prank, contest, feat of strength, unnecessary running or rough and boisterous conduct
  • Know, understand and implement safe work practices and procedures
  • Know, understand and employ established rules and procedures for handling materials, equipment and processes (e.g. reporting unlabelled containers, using proper lifting techniques, etc.)
  • Request that worn out or defective equipment be replaced
  • Use all safety devices provided, ensuring optimum condition of devices and report any defects immediately to a supervisor
  • Use equipment and materials only in the manner intended
  • Report all injuries, incidents, hazards and unusual conditions immediately to supervisor
  • Attend all required health and safety training programs (e.g. WHMIS, orientation), and apply knowledge to daily operating procedures
  • Follow Standard Operating Procedures as related to your work area.
Working Conditions
  • Typical office hours: Monday to Friday \xe2\x80\x93 9:00 am \xe2\x80\x93 5:00 pm
  • Light to infrequently moderate physical effort. Requires handling of light and moderate weight objects including office equipment and other office supplies and, frequently, sitting for prolonged periods of time while using the telephone and computer.
