The Opportunity: Scope of the position Provide support to the Accounts Payable function with emphasis on vendor credits using clear, effective, and timely communication. Duties and Responsibilities

  • Leads the ongoing maintenance of AP credit posting for ALL vendors.
  • Determine the nature of vendor credits and processes in an appropriate manner.
  • Processes and codes ALL credits in CAD & USD currency using the proper GL accounts.
  • Collect and Monitor (and reconcile if necessary to confirm postings) vendor account statements to ensure all AP credits have been captured and are up-to-date.
  • Monitor and investigate AP trial balance for vendor accounts in a debit balance. Initiate collection or recommend to Manager those to be written off.
  • Identify and clear (via vouching/matching) outstanding Inventory Returns in an appropriate manner. Compare with vendor statements and make recommendations for those that can be written off.
  • Acts as a backup and a resource to the AP Team.
  • Perform a variety of accounting and administrative duties/projects as required.
  • Support the training of new hires.
  • Acts as a liaison between AP and all internal departments such as (but not limited to) Purchasing, Accounting, Sales, Warranty, Warehouse, Marketing etc. to both uncover and resolve discrepancies between AP credits and Inventory Returns in a timely manner.
  • Work closely with the Supplier Relations Manager to develop a process to calculate expected vendor rebates vs. actual received. Resolve any discrepancies that may arise.
  • Assist Marketing Department in coding and tracking Co-Op expenses vs. recoveries for more meaningful analysis.
  • Suggest, develop, and document process improvements pertaining to AP Credits and assist with report development.
Skills and Qualifications
  • At least 3 years of accounts payable and general accounting experience in a complex, high-volume AP environment.
  • Post-secondary education in accounting or business administration is required.
  • Intimate knowledge of accounts payable and general accounting procedures is necessary.
  • Experience with developing and writing procedures is highly desirable
  • Ability to explain complex ideas clearly
  • Ability to develop and maintain excellent business relationships both internal and external exercising diplomacy
  • Proficient in Microsoft Word, Outlook, and Excel (Pivot Table & VLOOKUP a MUST.)
  • Proficient in data entry and data management with the ability to meet deadlines.
  • Effective organizational skills, attention to detail, accuracy, and time management skills.
  • Fluent in English with effective communication skills both written and oral is essential.
  • Ability to use critical thinking
  • Above-average problem-solving skills resulting in sound business solutions.
  • P21 experience is an asset.
  • Results-oriented.
  • Professional business acumen.
  • Demonstrated integrity and ethical standards.
