WCPG Construction Ltd. is seeking a BC experienced AP coordinator and to join our accounting team, based in our Vancouver office. Reporting to the VP of Finance, the successful candidate will provide hands-on support across a large spectrum of job duties, including but not limited to vendor management, payment processing, monthly reconciliations, and other duties as required. The successful candidate will be a self-starter who thrives in a busy, self-directed environment and can work well with tight deadlines both independently and as a part of a team.
The candidate must have AP experience working in the construction industry and be use to processing a high number of invoices a month. Only applicants who have experience and working knowledge of Timberscan, BC Builders Lien regulations, WCB clearance letters, holdbacks and statutory declarations need apply.
The Accounts Payable Coordinator Job Duties:
Enter invoices into Timberscan
Act as the first line of defense for invoice management: ensure invoices are accurate and are addressed to the right company.
Ensure appropriate statutory declaration and WCB clearance letter documentation is in place for subcontractor payments.
Provide the monthly AP list to the VP of Finance by the 15th of the month for approval
Prepare monthly cheque and EFT run. Provide cheque and EFT package with invoice approval logs to VP of Finance for review and approval.
Ensure appropriate cut off of invoices and AP
Follow up with Project Managers to ensure timely invoice approval
Oversee the accounting email inbox
Communicate with the project accounting team on ongoing basis
Vendor management- level one communication with vendors, correcting an invoice to be billed to the right company, fix clear and obvious errors.
Ensure proper approvals are in place for new vendor set up
Assist the Intermediate accountant, corporate accounting manager and VP of Finance with ad hoc work as needed.
Other duties as required.
Additional skills and experience requirements include:
MUST HAVE Experience doing AP for a construction industry and live in the Lower Mainland.
Hands on mastery of Sage 300 Construction and Real Estate (formerly Sage Timberline Office)
Excellent English both written and oral communication skills
High quality standards; strong attention to detail
Takes ownership of tasks. Makes sure the job gets done by the deadline.
