The Accounts Payable Administrator plays a pivotal role within the payables function of the Maple Reinders Group and its affiliated companies. With a dedicated focus on delivering timely and precise job cost reporting, maintaining open lines of communication with Project Management personnel.
The Accounts Payable Administrator assumes a wide range of responsibilities including, but not limited to:
Accurately process and validate invoices by matching them with Purchase Orders (POs) and relevant supporting documentation.
Initiate and monitor invoice approval workflows via the organisation's digital portal, ensuring timely authorisation by Division or Project Managers.
Conduct thorough invoice reviews to confirm accuracy of pricing, quantities, and services rendered.
Apply eligible discounts to maximise cost efficiency and savings.
Respond professionally to Accounts Payable (A/P) phone and email inquiries, providing clear and timely information to both internal and external stakeholders.
Perform regular supplier statement reconciliations, proactively identifying and resolving outstanding items or discrepancies in collaboration with vendors.
Carry out additional assigned duties with a proactive and results-driven attitude.
Qualifications:
Possess a post-secondary education in Accounting, Finance, or Business, providing a solid foundation in financial principles and practices.
Accumulated two years of relevant experience in an Accounts Payable Clerk role, demonstrating a solid understanding of financial processes and procedures.
Proficient in utilizing Microsoft Office suite and Windows-based computer applications, including but not limited to Word, Excel, and Outlook, enabling adequate documentation and communication.
Ability to use/learn industry-specific software programs such as Timberline.
