Accounting and Office Coordinator!

Kiwanis Nursing Home is a compassionate, resident-centered nursing home dedicated to providing the highest quality of care in a supportive, home environment. By joining us, you will be joining approximately 150 other caring and amazing staff members in our 100-bed home in Sussex.





Reporting to the Comptroller, the

Accounting and Office Coordinator

acts as a key support to the accounting and administrative operations of the nursing home to ensure it operates smoothly and efficiently. This dual role will provide assistance with daily accounting and payroll functions, general office coordination, and administrative support across the home. The ideal candidate will possess a strong background in accounting to support the financial aspects of the role, along with exceptional organizational and communication skills to manage a variety of administrative responsibilities.




Some of what you'll be doing:





Accounting/Payroll


Leading the accounts payable process and all related tasks including packing slips and purchase order matching and invoice processing. Assisting with electronic and manual payment processing. Assisting with the accounts receivable process as required. Preparing and posting bank deposits, and other banking as required for multiple accounts. Assisting with bi-weekly payroll electronic processing including reviewing time cards, issuing payroll, rolling forward time banks, and updating employee records. Generating trust reports and preparation of year end tax receipts. Credit card reconciliations and employee expense report processing. Preparing or assisting with analysis and reconciliation of various accounts as required. Other tasks as assigned by the Comptroller.




Office Administration


Answering phones, transferring calls, taking messages, and acting as the first point of contact for visitors and the general public. Operating office equipment such as computers, fax machine, photocopier, communication systems, etc. Assisting in the resident admission process. Preparing, maintaining, updating and filing various documents. Managing calendars and schedules for building facilities. Providing administrative support for meetings, including note-taking and minute distribution. Ordering and receiving supplies Receiving, sorting, and distributing mail. Collaborating with team members and other departments on various initiatives. Other related duties as assigned by the Comptroller or Administrator.



What we're looking for:





Post-secondary education in accounting or a related field.

3+ years of related experience in accounting. Payroll experience an asset. Proven organizational and time management skills; ability to meet strict deadlines and manage multiple tasks at once. Self motivated, ensures professionalism and confidentiality, high attention to detail and accuracy. Excellent communication and a positive, proactive approach to completing tasks. Highly proficient with Office365. Experience with QuickBooks would be an asset.



The successful candidate will be also required to complete a medical check, vulnerable sector check, and Department of Social Development background check as a condition of employment.
