Woodhouse Group Inc. is seeking a detail-oriented, analytical
Accounting Specialist
with strong knowledge of construction or project-based accounting to play a key role within our growing team. The successful candidate will play a key role in supporting both our Accounting and Operations teams through accurate financial processing, proactive accounts receivable management, and reliable month-end support. As an integral member of our finance function, the Accounting Specialist will collaborate with internal stakeholders to ensure timely invoicing, precise reporting, and seamless financial operations across the organization.
Key Responsibilities
Accounts Receivable & Invoicing
Track customer invoices in accordance with contract terms and company policy.
Monitor and post incoming payments
Monitor A/R aging, perform proactive collections, negotiate payment arrangements as needed, and reduce DSO.
Resolve billing discrepancies by collaborating with Operations/Project Managers and customers.
Month End Close & Account Schedules
Prepare monthly schedules and reconciliations for accruals, prepaids, deposits, deferred revenue and intercompany transactions.
Maintain the fixed asset register; record additions/disposals and calculate & post depreciation.
Reconcile subledgers to the GL (A/R, A/P, payroll clearing, bank/credit cards) and support period end journal entries.
Assist with trial balance reviews and variance analysis versus budget/forecast.
Statutory Filings & Compliance (Ontario/Canada)
Prepare and file GST/HST returns (including ITCs reconciliation) in accordance with CRA timelines.
Prepare and submit WSIB reports/remittances and reconcile premiums.
Prepare Employer Health Tax (EHT) calculations, instalments, and annual return.
Support payroll source deductions (CPP/EI/Income Tax) reconciliation and remittance checks (in collaboration with the payroll provider).
Assist with other periodic filings as applicable (e.g., T4/T4A summaries, T5, municipal or industry reports).
Maintain organized working papers and evidence to support filings and audits.
Reporting, Tools & Process Improvement
Produce routine dashboards or reports (A/R aging, collections status, cash receipts) for the Accounting Manager.
Contribute to process improvements that enhance accuracy, timeliness, and internal controls.
Maintain organized financial records and documentation
Cross Functional Support
Assist when required with accounts payable and expense processing.
Partner with Operations/Project teams on job costing, change orders, and invoice backup packages.
Provide ad hoc administrative support to Accounting and Operations as required.
Support external accountant/auditor requests by preparing schedules and backing documents.
Qualifications & Skills
Post-secondary education in Accounting, Finance, or a related field; progress toward a professional designation is an asset.
2-3 years of hands-on accounting or bookkeeping experience; experience in construction or real estate is an asset.
Practical experience with invoicing, accounts receivable collections, and month-end reconciliations.
Proficiency with Microsoft Excel, Word, and Outlook; experience with accounting software is an asset.
Strong attention to detail, organization, and follow-through, with the ability to manage multiple priorities.
Clear, professional communication skills and a customer-service-oriented approach.
