Title: Accounting & Payroll CoordinatorLocation: Surrey, BCPosition Status: weekReports to: Senior AccountantSalary Grade: Level 4Compensation: $52,162.50 - $63,199.50Job Summary:The Accounting & Payroll Coordinator at Phoenix Society supports the overall operations of financial processes, including payroll, accounts receivable, and accounts payable.The position assists with the bi-weekly payroll, invoicing, payment receipts, processing, verifying and reconciling vendor invoices. The Accounting & Payroll Coordinator assists with the day-to-day functions within the finance department activities. Work collaboratively within the finance team to ensure financial accuracy.Organizational Status:The Phoenix Society is a multi-service agency located in the Lower Mainland of British Columbia dedicated to providing accessible services and opportunities to people who face barriers related to addiction, mental health, housing, education, criminal justice involvement and/or employment. The finance department runs payroll for 200+ staff. We manage the reporting of various funding streams for programs and projects. We use Sage 300 and Payworks.Work Performed:Accounts Payable:

  • Processing of vendor invoices, includes verification, GL account coding and monitoring for compliance with our financial policies and procedures.
  • Obtain approval/authorization for payment of invoices when applicable.
  • Understand expense accounts and cost centers.
  • Process outgoing payments in a timely matter and is in accordance with vendor terms.
  • Investigate and resolve account discrepancies.
  • Petty cash disbursements and reconciliation.
  • Continue to improve the payment process.
Accounts Receivable:
  • Prepare invoices and statements, ensuring that all information is accurate and complete. Identify errors or discrepancies and resolve before processing.
  • Processing incoming payments.
  • Banking activities including deposits and cash disbursements.
  • Maintain appropriate filing and recording systems.
Payroll:
  • Assist with payroll-related activities.
  • Assist with processing the bi-weekly payroll including timesheet verification and input for all employees.
  • Assist in maintaining confidential employee personnel files.
  • Assist in maintaining all benefit related plans for our employees.
Other:
  • Duties as assigned.
Qualifications:
  • Post-secondary diploma (e.g., 2 to 3 years) in accounting, bookkeeping, business, etc.
  • 3 to 5 years of experience providing accounting and bookkeeping services. Experience in a non-profit setting is an asset.
  • Satisfactory completion of Employee Immunization Record form.
  • Valid driver\xe2\x80\x99s license is required.
Skills & Knowledge:
  • Excellent knowledge of accounting, reconciliation, journal entry, payroll, and other such financial transactions.
  • Strong skills in Windows, Microsoft Word, Excel, and financial management systems.
  • Strong problem solving, analytical, and creative skills with the ability to exercise sound judgement and make decisions based on accurate and timely analyses.
  • Strong interpersonal skills and ability to communicate effectively in writing and verbally in English.
  • Ability to execute projects and assignments with high attention to detail.
