Accounting & Administrative Coordinator (Trucking Company)



Job Summary

We are seeking a detail-oriented and reliable Accounting & Administrative Coordinator to manage daily accounting functions and administrative operations within our trucking company. This role is responsible for financial record-keeping, invoicing, payroll support, compliance documentation, and general office administration to ensure smooth business operations.

Key ResponsibilitiesAccounting & Finance

Process customer invoicing, billing, and accounts receivable Track and reconcile accounts payable, including vendor invoices and fuel expenses Maintain accurate financial records and ledgers Assist with payroll processing, driver pay, and deductions Reconcile bank statements and credit card transactions Track expenses, tolls, fuel costs, and trip-related charges Prepare financial reports for management review Support year-end accounting and work with external accountants/bookkeepers
Administrative Duties

Maintain driver files, contracts, and onboarding documentation Manage compliance paperwork (insurance, permits, registrations, safety documents) Organize and file invoices, receipts, and company records (digital and physical) Answer phone calls, emails, and handle general office correspondence Assist with scheduling, document tracking, and internal communications Ensure confidentiality of financial and employee information
Compliance & Operations Support

Ensure records comply with company policies and regulatory requirements Assist with audits, inspections, and government reporting when required Support management with administrative tasks and reporting Coordinate with dispatch, operations, and management as needed
Qualifications

Experience in accounting, bookkeeping, or administrative roles (trucking or logistics experience preferred) Knowledge of accounting software (e.g., QuickBooks or similar) Strong organizational and time-management skills High attention to detail and accuracy Ability to handle confidential information professionally Proficiency in Microsoft Office (Excel, Word, Outlook) Strong communication and problem-solving skills
Preferred Skills

Experience with trucking payroll and driver settlements Understanding of fuel cards, IFTA, and trip expenses Familiarity with compliance documentation in the trucking industry
Work Environment

Office-based or hybrid role Fast-paced trucking and logistics environment Requires multitasking and meeting deadlines
Compensation

Competitive pay based on experience Benefits as per company policy
Job Types: Full-time, Permanent

Pay: $18.50-$31.81 per hour

Expected hours: 40 per week
