- Accounting Clerk
The Accounting Clerk will perform a variety of daily clerical and administrative tasks. The successful candidate will be adept in processing incoming invoices, maintaining financial records, preparing reports and reconciling various accounts. This includes the creation, organization and filing of digital documents within a collaborative Dropbox ecosystem.
This role uses Quickbooks Online Plus accounting software
to process daily business transactions, with updates to accounts payable and receivable, disbursements, job costing, expense forms and receipts. The successful applicant should be familiar with all accounting procedures and have a flair for numbers.
Expertise and fluency in Quickbooks Online Plus is mandatory* Proficiency with Dropbox and Microsoft Office (Excel, Outlook, Word) is required*
Accounting Clerk duties and responsibilities:
Provide accounting and clerical support and services as directed by the Controller
Perform daily data entry and maintenance of the financial records for an industrial electrical and mechanical service company
Create and process accounts receivable invoices in
Quickbooks Online +
software
Record and code accounts payable and vendor invoices into Quickbooks
Create, match and monitor purchase orders with invoices and file in Dropbox
Organize and maintain the online storage of digital documents in Dropbox
Reconcile vendor statements to accounting system
Interface with vendors as required
Maintain job folders in Dropbox - customer invoices, vendor invoices, statutory declaration forms, purchase orders and LEM's
Process and reconcile visa statements for the group of companies as required
Post payments to customer accounts and file deposit receipts for bank reconciliations
Record and ensure proper approval of expense reports
Maintain accounting database by entering new and updated customer and account information
Prepare / run various accounting reports, such as (but not limited to) A/P aging, A/R aging, client statements, job costing and materials purchase reports
Complete credit applications for vendors
Maintain office equipment and stationery supplies if required
Education and Experience
Proven accounting / data entry experience, preferably as an accounts receivable clerk or accounts payable clerk (preferably in a service-based industry)
Familiarity with basic accounting procedures
Accounting Diploma would be an asset
Proficient in
