Reporting to the Supervisor, this role focuses on executing day-to-day operations, while providing critical administrative and operational support. The Coordinator will play a pivotal role in the recruitment, orientation, and ongoing engagement of volunteers and student learners, helping to foster a positive and impactful experience for all participants.This position also works closely with and takes direction from the Academic Chief - Family Medicine and the Site Director to support the success of the Family Medicine Residency Program at GBGH. The Coordinator's responsibilities include ensuring smooth operations and alignment with academic program goals, contributing to GBGH's commitment to excellence in education and learner-related activities.This position supports the Supervisor in overseeing strategic direction, budgets, and overall management of volunteers and student learning programs. Additionally, the Coordinator will assist in designing and implementing innovative strategies to enhance volunteer and student engagement, retention, and program development, aligning with GBGH's strategic goals.KEY ACCOUNTABILITIES & RESPONSIBILITIES

  • Coordinate the recruitment, onboarding, and scheduling of volunteers and student learners.
  • Serve as the main contact for daily inquiries and support needs, including liaising with departmental leads and volunteers.
  • Facilitate training sessions and provide ongoing development opportunities for volunteers and students.
  • Support engagement activities, including recognition events and appreciation initiatives.
  • Assist in the management of the Gift Shop and Coffee Cafxc3xa9 operations.
  • Maintain accurate records and documentation, including compliance with privacy and safety regulations.
  • Regularly round with volunteers and students to gather feedback and ensure satisfaction.
  • Collaborate with community organizations and educational institutions to promote recruitment efforts.
  • Provide daily management, analytical, and administrative support to the Academic Chief, Site Directors, Faculty Development Lead, Quality Improvement Lead, and other program stakeholders.
  • Coordinate learner scheduling, onboarding, orientation, and accommodations.
  • Organize and manage learner rotations, academic half-day programming, and preceptor assignments, ensuring alignment with clinical operations and curriculum requirements.
  • Maintain and track academic schedules and ensure timely coordination of evaluations.
  • Act as the primary point of contact for learners, addressing inquiries and facilitating effective communication between learners, preceptors, and staff.
  • Coordinate meetings, including preparation of materials, minute-taking, and follow-ups for Teachers' Meetings, Competence Committees, and Resident Meetings.
  • This role may require travel to the University of Toronto for meetings and events, as well as within the local community to foster relationships and oversee volunteer and student programming.
  • Oversee the onboarding and offboarding process, ensuring compliance with requirements from GBGH, the University of Toronto, and other regulatory bodies.
  • Prepare and update program descriptions & coordinate recruitment activities, including residency selection and annual open house events.
  • Manage changes to schedules due to leave requests or unforeseen circumstances, ensuring seamless operations.
  • Schedule and proctor examinations, organize simulations, and track resident participation in required activities.
  • Ensure compliance with collective agreements, hospital policies, and learner confidentiality requirements.
  • Coordinate remediation plans and other learner support activities in consultation with the Site Director.
  • Prepare and manage budgets, process reimbursements, and validate specialty rotation funding.
  • Support program reviews and accreditation processes, ensuring all documentation is accurate and available for reviewers.
  • Lead or assist in organizing wellness activities, research days, and professional development sessions.
QUALIFICATIONS & EXPERIENCEThe ideal candidate will possess the following key competencies, record of experience and academic preparation:
  • Post-secondary diploma or degree in a related field, such as Human Resources or Business Administration.
  • Minimum of one year of experience in volunteer coordination, administration, or a related field.
  • Excellent organizational and problem-solving skills with the ability to manage multiple priorities.
  • Strong communication skills and the ability to foster positive relationships.
  • Superior organizational skills and the ability to prioritize competing tasks in a dynamic environment.
  • Strong communication skills, both written and oral, with a high level of professionalism and dependability.
  • Proficiency in scheduling applications, MS Office Suite (Word, Excel, Outlook), SharePoint, and virtual platforms like Zoom and Teams.
  • Ability to make decisions, exercise judgment, and take initiative while handling confidential information.
  • Demonstrated consistent punctuality and attendance record, maintaining a high level of reliability and commitment to performing duties with efficiency and effectiveness in previous roles
  • Ability to adapt to change in a fast-paced working environment.
  • Ability to work flexible hours, including evenings and weekends as required; with access to reliable transportation is essential for this position.
