Academic Services Specialist, College of Education
PRIMARY PURPOSE: To provide support in the implementation, delivery and assessment of programs and strategies for enhancing student success of first year and first time students with the College of Education. This position is responsible for providing academic advising to prospective and current teacher candidates. Course build and timetable preparation is also part of the position's duties. This position facilitates the College of Education undergraduate student awards.
NATURE OF WORK: Reporting to the Programs Director, in the College of Education, the position works in a fast-paced, student-centered team environment. The work requires an open mind, innovative thinking, good judgment, an ability to manage stressful or sensitive situations, and a strong commitment to creating an exceptional student experience. Considerable knowledge of the University's academic and administrative structures and processes is an asset. The successful candidate must possess working knowledge of Banner, Microsoft office( Excel) and Sharepoint The position involves analysis of a wide variety of student/teacher candidate situations and circumstances; making decisions about appropriate and possibly alternate courses of action; referral to other student service professionals, with follow-up if necessary. Previous experience advising students and knowledge of the College of Education undergraduate program is preferred.
ACCOUNTABILITIES:

  • Serving as a member of the Undergraduate Programs Office, this position ensures the efficient, accurate and timely interpretation, implementation, maintenance, and communication of the undergraduate program requirements, policies and procedures to students, teacher candidates, faculty, department heads, graduate coordinators, associate deans, administrative staff, and other stake holders with specialization on the complete four year program regarding student issues. Includes graduation standards, program requirements, degree requirements, deferred examinations and letters of permission. This includes triaging of student requests in a variety of formats (in person, telephone, web, email), and when appropriate, responding with front-line academic advising
  • Liaising with other academic and non-academic units across campus to provide effective and integrated first year student services
  • Clarifying College policies and regulations as they relate to undergraduate teacher candidate matters
  • Collaborate with the four departments to create the undergraduate teaching schedule and build courses
  • At key times, facilitate undergraduate student awards which involves reviewing student applications, compiling reports and supporting documentation for the committee to review, communicating committee decisions to successful students, and working with the main university office to disperse award funds
  • Review files to determine eligibility for extended practicums
  • Contribute to event planning, as required (e.g., Awards Ceremony, Pinning Ceremony, etc.)
QUALIFICATIONS
Education: An undergraduate University degree. An equivalent combination of education and experience may be considered.
Experience: Minimum two years of university level experience working with undergraduate students and the educational process in service-related roles. Assets include experience working with university personnel from various academic and non-academic units, and with the Student Information System (SiRIUS)/Banner.
Skills: Demonstrated ability to work within programs and foster learner engagement; proven ability to work effectively with diverse groups of people (i.e. students, parents, faculty, staff and external contacts); ability to multi-task; the ability to work independently within a team; effective interpersonal and communication skills, both written and verbal; excellent attention to detail; energetic and empathetic. Familiarity with online social networking, U of S academic student support systems, SIRIUS - course building and awards, and the College of Education programs and services would be an asset. Must have the ability to multi-task and meet deadlines in a fast paced and demanding environment.

Salary: The salary range, based on 1.0 FTE, is $53,091.00 - 82,954.00 per annum. The starting salary will be commensurate with education and experience.
