File & Compliance Specialist
to support our academic operations and ensure accurate documentation, reporting, and tracking across programs.
Position Overview:
As the
File & Compliance Specialist
, you will be responsible for managing student academic files and documentation, supporting OSAP and ministry compliance, and working closely with academic advisors and instructors to ensure all student records are accurately maintained and up to date.
This role is ideal for someone who is highly organized, efficient, and capable of working independently with minimal supervision in a fast-paced environment.
Key Responsibilities:
Maintain and organize physical and digital student records and documentation for academic, attendance, and placement according to College and Ministry requirements
Track document submission status and follow up with students for missing or incomplete items
Upload, update, and manage student files on SharePoint and internal systems
Ensure accuracy and completeness of all academic documentation
Support the preparation of files and ministry audits
Collaborate with academic advisors to track flagged students, completion progress, and funding eligibility
Assist in updating and maintaining centralized tracking systems, dashboards, and intake timelines
Perform regular audits and identify gaps in student records for escalation
Create reports and analytics
Qualifications:
At least 1 year of administrative experience in a high-volume or academic setting
High attention to detail; able to manage repetitive tasks with accuracy and consistency Strong organizational and time-management skills
Quick learner and comfortable with tech tools and databases
Strong problem-solving ability, particularly in fast-paced environments
Experience working with student records or compliance (asset, not required)
Familiarity with OSAP and PCC regulations (strong asset)
