Academic Coordinator



Reporting to the Deputy Headmaster/Head of School/Executive Director, the Academic Coordinator provides administrative support to the school. This includes scheduling & coordinating meetings/events, leveraging databases and tools to prepare statistical reports, preparing presentations, managing, and filing OSRs, generating transcripts, and providing quality control regarding school correspondence.

Examples of Duties and Responsibilities



Provide administrative support to the Academic Team throughout the school, and act as a primary contact for students, teachers, parents connected to the different academic initiatives and programs. Provide project support and coordination for key initiatives across the academic calendar including parent-teacher-interviews, report cards, Intersession Week, etc. Maintain a professional and welcoming environment for community, stakeholders and members, while supporting daily school operations. Provide administrative support for the Executive Team and department, by managing calendars, booking meetings with students, families, and university representatives. Coordinate the Ontario Student Records (OSRs) and student transcripts, graduation verification, IEP documents, and other documents as requested Ensure Ontario Student Records are in compliance with Ministry Guidelines. Gather statistical data on behalf of the Academic Team providing initial analysis Coordinate official visits from external organizations Provide support for student teacher placements and liaise with OISE. Extract information from databases and manipulate reports in Excel. Assist with Prize Day and Graduation activities. Coordinate and provide coverage for testing as needed. Assist with the annual calendar planning and attend weekly calendar meetings to review upcoming events and logistics, ensure events are reflected accurately, and address any conflicts. Complete other duties as required.

Job Specific Competencies



Strong computer skills with applications and databases (Microsoft Office, GSuite, Blackbaud, Power School, and similar databases) Strong verbal and written communication skills Experience in a service-oriented work environment with a diverse group of stakeholders. Flexibility to support changing school priorities. Displays superior attention to detail. Ability to manage multiple projects and deadlines and adjust priorities accordingly. Demonstrates good problem-solving skills with a focus on creative resolution and continuous improvement. Displays a high degree of confidentiality when handling sensitive information.

Knowledge, Education, Experience



Postsecondary education 2+ years of experience in a similar role, in a school setting preferred.
